The Event Manager role at the Lod Cook Alumni Center is a part-time position, ideally suited for a student or recent retiree seeking a flexible work schedule of up to 20 hours per week. This role offers a unique opportunity to join a professional team dedicated to delivering exceptional event experiences in a dynamic and fast-paced environment. The Event Manager is responsible for overseeing all aspects of event execution, including room setup according to client specifications, coordinating with catering and facilities staff, and ensuring that audio-visual equipment functions flawlessly. This position requires a high level of attention to detail, strong organizational skills, and excellent interpersonal communication to actively engage with clients throughout the event and address their needs proactively.

Key responsibilities include completing pre-event and post-event checklists to confirm readiness and cleanliness of the venue, verifying that all logistical components such as food, beverage, lighting, and temperature controls are set accurately, and responding promptly to any issues or changes during events. The Event Manager must be adept at problem-solving and capable of collaborating effectively with catering, facilities personnel, and other stakeholders to maintain smooth operations. Working nights, weekends, and holidays is essential to meet the diverse scheduling demands of hosted events, ensuring a superior guest experience at every occasion. Job Duties

  • arrive at scheduled time and complete pre-event checklist to be sure that the venue is ready for the event and correctly set up according to client specifications
  • coordinate with catering to ensure food and beverage items are correctly set up according to client specifications and served at the specified time during the event
  • verify facilities including restrooms are clean and in acceptable condition
  • coordinate with LCAC facilities staff if needed
  • verify that audio visual needs are working properly and correctly set up according to client specifications
  • walk the entire LCAC space before, during and after the event to be sure the space is clean, orderly, complies with safety standards, and identify any problems areas
  • consistently check in with client throughout the event to be sure that client needs are being met and proactively offer assistance
  • make changes to set-ups and audio visual as requested by client and document changes to ensure correct billing
  • adjust lighting, air conditioning/heat, background music as requested by client
  • solve problems as they arise before or during events by working closely with facilities staff, catering, and hotel staff
  • complete post-event checklist to ensure the alumni center is clean and secured before leaving
  • coordinate with caterers to ensure all food items have been removed at event conclusion
  • perform other duties as assigned by supervisor
