Job Description

As an Event Manager within this foundation, you will play a crucial role in driving the success of various events by managing all phases from conception to completion. The position involves working closely with internal teams and external vendors to coordinate logistics such as vendor selection, catering, audio-visual setup, transportation, and accommodations. You will be the primary on-site contact during events, responsible for overseeing setup, execution, and breakdown while handling any challenges that arise with professionalism and efficiency. This role demands strong project management skills, superior communication abilities, and a high level of organization to ensure smooth operations and successful outcomes.

Your responsibilities will include assisting in the development of event concepts, themes, and schedules tailored to the foundation's goals. You will coordinate volunteer efforts and manage event registrations in partnership with leadership to provide seamless attendee experiences. Post-event analysis including assessing the return on investment and generating reports will also fall under your purview to continually enhance event strategies. The role operates primarily weekdays Tuesday through Friday with an 8:30 am to 5:00 pm office schedule, while Saturdays from June through September and select evenings and weekends will require your presence during event seasons.

Compensation for this role ranges between $60,000 and $65,000, reflecting the expertise and commitment expected from a qualified Event Manager. The working environment includes a comfortable office setting with temperatures typically between 65°F and 75°F, along with exposure to varying outdoor conditions during event seasons.

Preferred candidates will hold a Bachelor’s degree in Event Management, Hospitality, Marketing, or a closely related field, paired with two to four years of hands-on experience in event planning and management, including familiarity with outdoor venues. Proficiency in event management software, project management tools, Microsoft Excel, and CRM databases is essential. Strong command of both written and verbal English communication will facilitate effective collaboration with associates and leadership.

This role requires physical stamina to stand, walk, and sit throughout the day over diverse flooring types. Exceptional organizational skills, the ability to work independently as well as part of a team, and a commitment to maintaining high-quality standards are paramount to thriving in this fast-paced and rewarding position.

Job Requirements

  • Availability to work weekdays Tuesday through Friday and mandatory Saturdays from June through September plus evenings and weekends as needed for events

Job Duties

  • Assist in planning and executing events from concepts to completion including setting goals timelines and budgets
  • Help execute event concepts themes and schedules based on foundation needs
  • Coordinate event logistics such as vendor selection catering audio/visual setup transportation and accommodations
  • Coordinate and act as liaison with vendors suppliers and contractors to ensure all services are delivered on time and to foundation specifications
  • Source and contact venues caterers entertainment and other necessary event services
  • Distribute collateral materials to event attendees and participants
  • Serve as the primary point of contact on-site during events overseeing set-up execution and breakdown in partnership with the Pillar Lead
  • Handle any challenges that may arise promptly and effectively
  • Manage the solicitation and coordination of volunteers from internal and external stakeholders
  • Manage event registration in partnership with Pillar Lead to ensure a smooth attendee experience
  • Analyze event success and ROI providing reports and recommendations for future events
  • Ensure thank you notes and follow-up communications are sent to participants sponsors and partners
  • Exhibit strong project management skills including the ability to prioritize tasks meet deadlines and adapt to changing circumstances
  • Demonstrate excellent communication and interpersonal skills with the ability to build relationships and collaborate effectively with diverse stakeholders
  • Perform other duties as assigned by leadership
