Within this esteemed institution, the Office of the Chancellor/Provost, Enrollment Management and Undergraduate Admissions team is seeking a highly skilled and motivated Events Specialist 3 to join their dynamic event management division. This career-level full-time role is based in Davis, CA, and offers a competitive salary range from $69,600 to $124,200 annually. The position is hybrid, combining on-site presence with remote work, scheduled Monday through Friday from 8:00 AM to 5:00 PM.

The Events Specialist 3 is responsible for comprehensive planning and execution of multiple complex events, which include both on-campus and off-campus venues throughout California and across the United States. These events vary widely in scope and scale, ranging from a few hours to several days, and accommodate between 50 to as many as 10,000 attendees. The role demands full ownership from the initial concept and design phases through development, implementation, team coordination, and post-event evaluation. An essential aspect of the role involves managing contracts with multiple service contractors and subcontractors to ensure seamless delivery.

Beyond logistics, the specialist plays a critical role in budget development and management, ensuring events remain within allocated financial parameters. A significant focus lies in overseeing recruitment, yield, and community-based events pivotal to the university's enrollment goals. This position also prioritizes the health, safety, and security of all events under its supervision.

The successful candidate will be expected to demonstrate advanced long-range planning, project management, and interpersonal communication skills. Building and maintaining strong partnerships with campus units such as executive administrators, Deans' offices, and external organizations and industry partners is crucial. Job Requirements

  • Bachelor's degree
  • At least two years of event management experience preferably at a higher education institution
  • Proven ability to exercise independent judgment and maintain confidentiality
  • Knowledge of client management and event registration systems
  • Ability to interpret and apply federal, state, and university regulations
  • Skilled in budget management and contract negotiation
  • Excellent interpersonal and communication skills
  • Ability to work flexible hours including evenings, weekends, and travel as needed
  • Successful completion of background checks and compliance with mandated reporter policies

Job Qualifications

  • Bachelor's degree or equivalent experience
  • Minimum of two years of highly-visible, large-scale event management preferably in higher education
  • Experience exercising sound independent judgment and maintaining confidentiality
  • Advanced knowledge of event planning techniques, principles, and best practices
  • Proficiency in client management systems, registration check-in systems, and event scheduling platforms
  • Strong analytical and interpersonal communication skills
  • Ability to manage budgets, negotiate contracts, and supervise event teams
