The company is currently seeking a detail-oriented and motivated Event Coordinator to join their team on a full-time basis. The Event Coordinator will be instrumental in overseeing the entire lifecycle of various events, from initial concept development through to post-event analysis, ensuring seamless event operations that align with strategic goals.

As an Event Coordinator at Eight Eleven Group, you will collaborate closely with multiple stakeholders across the company to fully understand event objectives, target audiences, and branding requirements. This includes planning and executing tradeshow participations, client events such as happy hours, parties, and private dinners, as well as managing vendor relationships, negotiating contracts, and coordinating logistics. You will also work in tandem with the marketing team to promote events through various channels including social media and direct marketing campaigns, while managing RSVP lists and ensuring brand consistency through swag and promotional materials.

This role requires excellent organizational skills to develop comprehensive event plans that include timelines, budgets, and resource allocation, and the ability to monitor these elements throughout the event process. On-site event management responsibilities include overseeing setup, troubleshooting issues in real-time, and ensuring the event runs smoothly. The role also involves researching competitor participation to inform strategic decisions and evaluating event success through detailed reports on client feedback and performance metrics.

The successful candidate will have a Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field, and up to two years of experience in event planning or related areas. Strong project management capabilities, outstanding communication skills, and a customer-first mindset are essential. The ideal candidate will also be comfortable with travel as required for event coordination. Job Requirements

Job Duties

  • Collaborate with stakeholders to understand event objectives and branding requirements
  • Develop comprehensive event plans including timelines, budgets, and resource allocations
  • Identify venues, manage vendor relationships, and negotiate contracts for event spaces and hotel blocks
  • Partner with marketing for event promotion, RSVP management, and branding material coordination
  • Research competitor participation in trade shows and industry events
  • Evaluate event success through post-event reporting and client feedback
  • Coordinate tradeshow participation including logistics, badge purchasing, and attendance
  • Manage exhibit preparation including design, layout, and branding
  • Ensure timely preparation and delivery of promotional materials and marketing collateral
  • Track lead generation and performance metrics from tradeshow participation
  • Oversee on-site event setup and smooth execution
  • Troubleshoot and resolve issues during events promptly
