The full-time Event Coordinator role at Stagen Leadership Academy is a critical position that caters to both operational and hospitality needs. This role demands a highly organized, detail-oriented individual who is passionate about delivering exceptional client and internal team support. The Event Coordinator will manage the scheduling and coordination of all events, ensuring smooth operational flow and high-quality service delivery. Reporting to the Conference Services Manager, the role requires a proactive approach to event planning and execution, including managing hospitality services, coordinating vendor relations, and maintaining a client-ready environment that exemplifies the Academy's high standards. The Event Coordinator will oversee logistical details such as room layouts, catering needs, equipment, and transportation, providing seamless event experiences on-site and offsite. This role also involves close collaboration with caterers, vendors, and internal teams to maintain cleanliness, organization, and adherence to timelines during events.

Job Requirements
- High school diploma or GED
- At least one year of customer service experience
- Proficiency in MS Office Suite
- Strong organizational skills
- Ability to work under pressure
- Exceptional verbal and written communication skills

Job Duties
- Schedule all external events in the Academy and offsite
- Document all hospitality-related events on the calendars by coordinating with the Academy Coordinator
- Communicate any scheduling conflicts or denials of space to the Conference Services Manager and notify affected parties
- Prepare detailed specifications of event requirements including room layout, timing of breaks, materials, catering needs, equipment, and transportation
- Coordinate server coverage and staffing for each event or program
- Enter hospitality costs into Salesforce for food and beverage tracking
- Act as an event coordinator to caterers and additional staff during events to maintain integrity and ensure timelines are followed
