The Department of Radiology is actively seeking a full-time Event Coordinator to join their team in Madison, Wisconsin. This hybrid role combines onsite and remote work flexibility, allowing for dynamic support of diverse academic, community, and healthcare-related events. The candidate will play a pivotal role in organizing and executing events that support the department's mission of advancing human health through collaboration, innovation, and education. Reporting to department leadership, the Event Coordinator will manage the logistics and planning of events ranging from small meetings to large conferences, ensuring seamless coordination and customer satisfaction throughout all stages of event production.
This position demands a highly organized, creative, and detail-oriented professional who thrives on managing complex projects and possesses excellent communication skills. Core responsibilities include assisting in promoting events, handling registrations, coordinating with vendors, scheduling event resources, and ensuring smooth onsite event operations, including greeting guests and troubleshooting issues. The role requires physical ability to lift or move items weighing up to 50 pounds and may necessitate evening and weekend availability to support event schedules. Job Requirements
- At least 1 year of professional experience in event planning
- Experience providing customer service, administrative support, or similar
- Ability to lift or move objects up to 50 pounds
- Availability to support evening and weekend events as needed
- Capability to work both onsite and remotely

Job Qualifications
- Bachelor's degree preferred
- At least 1 year of professional experience in event planning
- Experience providing customer service or administrative support
- Experience scheduling and organizing complex event logistics
- Experience with digital communications, event registration, and survey creation
Job Duties
- Assist with planning and creating promotional materials and resources for events
- Greet customers and guests, assist with registration, answer questions, and refer complex issues to appropriate entities
- Monitor and process event-related transactions and records
- Schedule logistics and secure resources for events including space, vendors, and staff
- Coordinate details and resolve operational issues during events
- Communicate with customers to determine event details and requirements, evaluate requests, recommend service plans and pricing, and provide status updates
