The role of the Event Coordinator at the Orange County Fair & Event Center is a part-time position designed for individuals passionate about event planning and coordination within a demanding, fast-paced environment. Working approximately 2 to 3 days per week, with increased hours during peak event schedules, this role is crucial in orchestrating a seamless experience for all events hosted at the center, not exceeding 122 days of work annually. The Event Coordinator acts as a vital link between clients, staff, and operational departments to ensure every aspect of event planning is handled with precision and care. Responsibilities include coordinating year-round events, meeting with prospective promoters, facilitating venue tours, and developing comprehensive event contracts that specify costs, fees, and regulations. The coordinator is instrumental in managing communication and logistics, liaising with departments such as Maintenance, Event Operations, Parking, Guest Relations, and Technology.
They oversee the event-specific staffing needs, coordinate with the Master Concessionaire, manage the Food Truck Program on select nights, and represent the venue during event setup and teardown. A strong focus on safety, compliance with fire and security regulations, and readiness of the facility is necessary to uphold the center's standards. The coordinator must evaluate operational issues, respond promptly to emergencies, and generate detailed post-event reports analyzing financials and overall success. This role demands exceptional communication skills, customer service orientation, and the ability to manage multiple tasks effectively under pressure. Proficiency with Microsoft Office and event booking software is essential. - 2+ years experience coordinating events in large civic center, auditorium, theater or similar environment
- 1 year experience coordinating event staff
- Strong planning and organization skills

Job Duties
- Coordinate, organize and facilitate assigned year-round events
- Meet with prospective promoters and assist with facility tours
- Develop event contracts including costs, fees and regulations
- Coordinate event work orders and staffing needs with various operational departments
- Monitor event needs of the Master Concessionaire and Food Truck Program
- Represent the venue during event setup and teardown
- Evaluate operational issues and respond to emergencies promptly
- Ensure compliance with fire, safety and security regulations
- Compile and reconcile billing details and generate post-event reports
- Conduct pre and post-event meetings with staff and promoters
- Maintain effective communication with internal and external customers
