Our company is a vibrant Harley-Davidson motorcycle dealership dedicated to delivering exceptional experiences to our customers through a variety of events held throughout the year. These events range from small, intimate gatherings to large-scale seasonal celebrations that form the cornerstone of our customer engagement strategy. The Event Coordinator role is an integral part of our administration team, reporting directly to the General Manager and Marketing Coordinator/Director. This position is responsible for the comprehensive planning and execution of numerous dealership events, ensuring each one is a success from inception to completion. The Event Coordinator plays a crucial role in managing various logistical aspects, securing necessary permits, coordinating event layouts and traffic plans, and maintaining communication with multiple stakeholders including advertisers, vendors, and our marketing team.
The role requires a dynamic individual who excels in multitasking and thrives in a fast-paced environment. The Event Coordinator will regularly schedule and facilitate dealership events, handle weekly conference calls, and keep an up-to-date calendar of events to ensure smooth operations. This position is also responsible for documenting events via photography to keep social media pages fresh with live updates, thereby enhancing customer engagement online. Additionally, the Event Coordinator maintains promotional materials, tracks expenditures and revenues related to events, and assures proper staffing and scheduling for event setups, technical support, and breakdowns.
To succeed in this role, the ideal candidate must possess an approachable and enthusiastic personality, excellent communication skills, and a passion for motorcycles and the motorcycling lifestyle. Familiarity with Harley-Davidson products and services is highly desirable, but a demonstrated ability to quickly learn such information is equally valued. The role demands high energy, general math skills, proficiency with the Microsoft Office Suite, Google Drive applications, and the ability to manage confidential information with discretion. A high school diploma and valid driver’s license are required, and previous experience in marketing and event coordination is considered a plus.
Physically, the position requires the ability to use both hands, frequent bending, stooping, crouching, reaching, and lifting up to 40 pounds. The work environment can be noisy and may involve occasional exposure to battery acid, gasoline, chemical cleaning materials, and exhaust fumes typically found in a motor vehicle service department.

Job Requirements

Job Duties
- Obtain city, health, and alcohol permits
- Event layout and traffic plan coordination
- Schedule and facilitate dealership events
- Conduct weekly Event Coordinator conference calls
- Maintain weekly and monthly events calendar
- Take pictures during events and update social media pages
- Serve as contact person for advertisers and walk-ins, directing information to Marketing Coordinator/Director
- Track expenditures and revenues, collect fees, and maintain records
- Maintain in-store promotional materials such as bag stuffers, marketing synopsis, door flyers
- Keep Dealer Event Entry up-to-date with events
- Update staff on current events and promotions
- Compose and edit promotional materials including e-blasts, brochures, advertisements
- Ensure adequate staffing and schedule set-up, technical, stage, and other crews
- Supervise crews during events and facilitate break-down
- Provide assistance and information to customers and staff
- Coordinate catering needs and prepare conference and meeting materials
- Perform other related duties as assigned or requested
