The Event Coordinator position located in Detroit, Michigan, offers a dynamic hybrid work environment with four days onsite and one day remote, adjusted as per business needs. This role plays a key part in the seamless execution and day-to-day management of events at the company's conference center. The Event Coordinator is charged with overseeing various types of events including special corporate functions, bank meetings, and conferences with a focus on both administrative and logistical responsibilities.
This intermediate-level role involves moderate complexity and requires general supervision with occasional input from senior staff. The Event Coordinator operates without direct reports but serves as an essential support to Senior Event Producers. Responsibilities include managing communications such as responding to phone and email inquiries, coordinating event spaces via the Event Management System, and ensuring that client requests for room setup, audio-visual equipment, and catering are precisely met according to organizational standards.
The role also extends to logistical planning such as coordinating pre-event AV testing, creating event registration portals, tracking guest lists, supporting transportation arrangements, handling supply inventory, and managing daily room signage. Moreover, the Event Coordinator is expected to provide on-site support during events ensuring high client satisfaction and delivering an enhanced experience through hospitality and attention to detail.

Job Requirements
- Bachelor's degree in a related field preferred or commensurate specialized training

Job Qualifications

Job Duties
- Manage day-to-day operations and activities on the conference center floor including special events, bank meetings, and conferences
- support department and senior event producers by answering phones, checking shared email, handling inquiries, and checking availability in the Event Management System
- distribute and respond to inquiries and track feedback comments
- perform administrative duties including coordinating logistical reports, creating room signs, managing supply inventory, and ordering supplies
- assist with logistical details for larger events and serve as backup liaison when needed
- coordinate pre-event AV and system testing for client comfort and reliability
- create event registration portals, monitor reports, and ensure entry and exit requirements compliance with Law Enforcement Unit
- collect presentation materials and digital assets for distribution
- ensure room setup, AV/technology, and catering meet guidelines
- provide onsite event support to enhance customer experience
- liaise with partner departments to resolve logistical issues
- administer hotel and ground transportation contract processes including availability, rates, cutoff dates, and rooming lists
- operate under general supervision, performing work of moderate complexity
