Job Description
Lehigh Valley Sporting Clays (LVSC) is globally recognized as a premier sporting clays shooting facility, uniquely situated around an 1800's abandoned limestone and cement quarry. This distinctive location offers enthusiasts an unparalleled outdoor shooting experience that blends natural beauty with recreational challenge. Sporting clays is often referred to as "Golf with a Shotgun," where participants shoot at 100 clay targets launched from six to eight stations along a mile-long course. LVSC prides itself on its exceptional service provided by a dedicated staff that supports all participants, including women, youth, and individuals with disabilities.
As a well-established venue, LVSC hosts over 300 special events annually, ranging from fundraisers and corporate entertaining to bachelor and bachelorette parties, birthday celebrations, and family reunions. The organization actively collaborates with numerous non-profits such as The National Disability Awareness Shoot, Lehigh Carbon Community College, Good Shepherd Rehabilitation Hospital, Valley Youth House, and various Cancer Societies, collectively raising over $350,000 last year.
The Event Coordinator role at LVSC is a dynamic and multifaceted position critical to the seamless execution of these events. This role offers a unique opportunity for an individual who enjoys variety and thrives in teamwork-oriented environments. The position involves working across two departments: supporting the Event Manager by coordinating communication and logistics with all department heads to ensure tailored attention to each event, and assisting the Front Counter Associate department with day-to-day operations. Successful candidates will be outgoing, possess a positive attitude, and exhibit strong interoffice communication skills. The ability to work all weekends and holidays, alongside the flexibility to adapt to variable event schedules, is essential.
The Event Coordinator will be responsible for managing event inquiries, scheduling, preparing quotes, maintaining digital records, and serving as the main liaison from event inception through completion. Comfort around firearms is important, although professional training will be provided to ensure safety and competence. The role demands excellent organization, critical thinking, and the ability to multitask in a fast-paced environment. Reliability, attention to detail, and a genuine eagerness to learn and assume responsibilities are key attributes for success. This part-time position offers potential for full-time hours, with general workdays starting early morning through late afternoon, scheduled predominantly between Wednesday and Sunday, with additional shifts during busier months.

Job Requirements
- Must be 18 years old
- At least one year of customer service experience
- Excellent computer skills including MS Word, Excel, PowerPoint, and Outlook
- Ability to communicate clearly both orally and in writing
- Willingness to work all weekends and holidays
- Must be reliable
- Ability to lift up to 50 lbs
- Ability to stand for extended periods
- Ability to work in all weather conditions
- Must have reliable transportation
- Ability to multi-task and pay attention to detail
Job Qualifications
- Customer service experience for at least one year
- Excellent skills with MS Word, Excel, PowerPoint, and Outlook
- Knowledgeable with POS systems preferred
- First aid, CPR, AED certification preferred
- Strong oral and written communication skills
- Ability to work in a fast-paced environment
- Strong multi-tasking and organizational skills
- Reliable with a positive attitude
- Must be 18 years or older
Job Duties
- Fielding calls and emails from potential customers
- Scheduling events
- Informing all department heads of what is needed for each individual event
- Putting together quotes and collecting payment
- Maintaining digital records of all upcoming events
- Assisting Event Manager in daily duties
- Assist each event from start to finish
- Must be a team player and willing to perform Front Counter Associates duties as required
- Must be comfortable around firearms
- Provide excellent customer service throughout event planning and execution
