As an Event Coordinator at Campfire Collective, you will play a crucial role in supporting the planning and execution of a diverse range of corporate events. This full-time remote position (with the requirement to reside in the Greater Seattle area for local event support) demands a highly organized and proactive professional with 3-4 years of experience in event coordination within corporate or professional settings. Working Monday through Friday from 8 am to 5 pm with a one-hour lunch break, you will be responsible for managing multiple projects simultaneously, coordinating vendors and stakeholders, and ensuring seamless logistics from concept through completion. Your attention to detail, proactive problem-solving approach, and excellent communication skills will be instrumental in delivering events that align with Campfire’s standards and brand reputation.

In this role, about 25% of your time will be dedicated to executive administrative support tasks, providing vital operational assistance to the leadership team. You will serve as the backbone behind the scenes, keeping timelines, vendor relationships, and internal communications aligned and progressing smoothly. Additionally, you will contribute creatively by managing the company's social media presence with event-related content, helping to grow engagement and communicate the brand’s story through behind-the-scenes footage and post-event recaps.

Job Requirements

  • 3–4 years of event coordination experience
  • Bachelor’s degree or equivalent experience
  • Residency in the Greater Seattle area
  • Availability for occasional in-person event support and team meetups

Job Qualifications

  • 3–4 years of experience coordinating corporate or professional events
  • Bachelor’s degree in marketing or the equivalent combination of education and work experience
  • Must be based in the Greater Seattle area and available for occasional in-person responsibilities and team retreats
  • Consistency of schedule with flexibility during events. Ability to travel or work off hours/weekends as needed
  • Desire and willingness to travel for events (~25% of the time)
  • Strong understanding of event logistics, timelines, and budgeting
  • Proficient in tools such as Google Workspace, Slack, Zoom and desire to learn project management platforms (e.g., Asana, Trello, or Monday.com)
  • Excellent written and verbal communication skills
  • Active listener and diplomatic
  • Ability to synthesize information and communicate succinctly
  • Ability to manage multiple priorities in a fast-paced environment
  • Highly self-motivated and comfortable working independently with minimal oversight

Job Duties

  • Coordinate and execute logistics for a variety of corporate events such as corporate parties, ancillary events, sales kick offs, and executive meetings
  • Onsite support for events at a local Seattle area venue
  • Collaborate with internal teams and external vendors to ensure all event deliverables are met on time and within budget
  • Source and liaise with venues, caterers, A/V providers, and other suppliers
  • Manage a variety of planning documents including event timelines, production schedules, and task trackers
  • Assist with onsite event execution, including setup, vendor coordination, and attendee support
  • Contribute to post-event reporting, feedback collection, and lessons learned documentation
  • Ensure all event materials, branding, and communications are aligned with company standards
  • Collaborate closely with Campfire leadership to manage operational logistics and organization
  • Maintain and grow the company’s social media presence, creating event-related content including reels, behind-the-scenes footage, and post-event recaps
  • Develop and execute a light content calendar that reflects the company’s brand voice and supports event and community initiatives
  • Ability to rapidly pivot from one project to the next, work well under pressure and manage deadlines
  • Stay up to date with industry trends and best practices in corporate event planning
  • Assist with administrative tasks and special projects to support operations
