Job Description

Downtown Rescue Mission (DRM) is a faith-based nonprofit organization dedicated to serving the homeless and vulnerable populations in the community by providing essential resources, shelter, rehabilitation programs, and support services. The role of Event Coordinator at Downtown Rescue Mission is a dynamic, part-time position pivotal to the success of the organization’s fundraising and outreach efforts. This position reports directly to the Marketing Manager and is designed for someone with a passion for event management, combined with a commitment to the mission and values of DRM. Compensation ranges from $18 to $20 per hour, depending on experience, with a work schedule of up to 27 hours per week, primarily during weekdays with occasional evenings or weekends as necessary.

The Event Coordinator will be instrumental in planning, managing, and executing a variety of events, including at least three major fundraising events annually along with several smaller-scale functions throughout the year. These events vary in size, purpose, and location but all share the goal of advancing DRM's mission and generating community support. This role requires excellent organizational skills, strong vendor and budget management capability, and the ability to multi-task within tight deadlines. The Coordinator will collaborate closely with Development Team members as well as other DRM staff and volunteers to ensure seamless event execution.

Key responsibilities include establishing and nurturing relationships with vendors and venues, managing event logistics from start to finish, overseeing financial reporting and budget reconciliation related to events, and formulating contingency plans to address potential challenges. The Event Coordinator is expected to handle all aspects of event promotion, including invitations, RSVP tracking, and stakeholder communication. Additionally, the position involves public speaking opportunities and representing DRM at community events to foster donor and partner engagement.

This position requires a candidate who can demonstrate professionalism and adaptability in a fast-paced environment, with a particular emphasis on upholding DRM’s Christian values and maintaining an exemplary moral character. Proficiency with Microsoft Office and Google Suite is essential, and experience with donor and event software such as GoFundMe or GiveButter, along with project management skills and knowledge of audio-visual technology, are highly desirable. The Event Coordinator should also be physically able to sit or stand for extended periods and lift up to 30 lbs unassisted.

Job Duties

  • Plan and manage a minimum of 3 primary events annually which vary in size location and purpose
  • Collaborate with staff and volunteers to ensure event success
  • Establish and maintain relationships with vendors and venues
  • Create reliable financial reports ensuring all financial elements are accounted for and expenses remain within budget
  • Anticipate potential event challenges and develop contingency plans to mitigate risks
  • Prepare briefing materials with final details for fellow DRM members event hosts and other stakeholders
  • Develop staffing and volunteer plans to ensure quality standards are met
  • Collaborate with team members and vendors to create and distribute event invitations manage RSVPs and track responses
  • Determine benchmarks for success prior to each event evaluate outcomes and implement plans for improvement going forward
  • Brainstorm and propose additional events to advance DRM’s mission
  • Represent DRM at events and speak publicly when needed
  • Seek and secure event sponsorships and giveaways
  • Maintain a part-time on-site schedule up to 27 hrs a week
