The role of Event Coordinator at HOPSCOTCH is a dynamic and multifaceted position requiring attention to detail, exceptional organizational skills, and a proactive mindset. The Event Coordinator will support the full event life cycle, from initial planning through successful execution and post-event analysis. Responsibilities include coordinating logistics such as venue bookings, catering arrangements, audiovisual setups, transportation, permits, and materials managing. The role demands close collaboration with vendors, suppliers, and internal teams to ensure events run smoothly and meet quality standards. Additionally, the position offers visibility on-site at various events with an estimated 30-40 percent travel requirement, providing hands-on experience in troubleshooting, set-up, and coordination.

Job Duties

  • Assist in the end-to-end planning and execution of client and internal events
  • coordinate logistics including venue booking, catering, AV setup, transportation, permits, and materials
  • maintain and update event timelines, budgets, floorplans, and run of show development
  • liaise with suppliers and vendors to confirm availability, negotiate pricing, and monitor delivery timelines
  • prepare event materials such as signage, handouts, and swag
  • packing event material, POS pre and post event
  • liaise with warehouse and shipping suppliers for logistics and delivery tracking
  • travel approximately 30-40 percent of the time onsite to events across the US
  • support on-site event operations including setup, troubleshooting, coordination, and teardown
  • assist with internal reporting, post-event analysis, and data entry such as feedback surveys and attendance metrics
  • collaborate with cross-functional teams to ensure alignment
  • manage invoice process, budget tracking, and reconciliation
  • design small event materials using Canva
  • support designers with briefs and updates
  • maintain progress decks including venue info and floor plans
  • handle product sourcing, scanning, inventory lists, and purchase tracking
  • provide general administrative support to the Events team
  • own the full cycle of select event projects ensuring adherence to agency processes and policies
  • manage budgets clearly and effectively
  • provide creative problem solving and proper escalation
  • act as main point of contact for vendors with professionalism and leadership
  • perform client-facing roles on small event projects
  • deliver timely and detailed post-project reporting
  • conduct venue and external event calendar research
  • update agency promotion materials by uploading photos and videos
  • organize supplier database and freelance resources
  • support case study development
