Job Description
Promises2Kids is a dedicated nonprofit organization committed to improving the lives of foster children and vulnerable youth through advocacy, education, and community engagement. With a focus on providing these children with the resources and support they need to thrive, Promises2Kids collaborates with various community stakeholders, volunteers, and donors to create impactful programs and events. The organization prioritizes inclusion, professionalism, and integrity in its interactions with staff, donors, and the community. The work environment is flexible, supporting both office and remote engagements, and the organization emphasizes a culture of collaborative teamwork and continuous learning to drive its mission forward.
The Event Assistant role at Promises2Kids is a full-time, non-exempt position offering an hourly wage range of $22 to $25. Reporting directly to the Event Manager, the Event Assistant plays a crucial support role in the planning, coordination, and execution of events designed to engage donors, supporters, and youth. This position is integral to the successful operation of events by managing timelines, tracking critical benchmarks, and ensuring accurate documentation throughout the event lifecycle.
Key responsibilities include managing in-kind donations for auctions, assisting with day-of-event operations such as guest registration and logistics coordination, and maintaining detailed records across various CRM and event management systems like Auctria, Salesforce, and Classy. The role demands strong organizational skills, operational flexibility including working some evenings and weekends to meet event requirements, and the ability to work independently as well as collaboratively within a team. The Event Assistant also contributes to the creation of event materials using tools like Canva, ensuring professional presentation and branding consistency.
In addition to the operational tasks, this position requires frequent communication and coordination with diverse stakeholders including children and youth, donors, and community members. The role demands discretion and professionalism when handling sensitive information and requires the maintenance of required background clearances per California law. Promises2Kids seeks a candidate who demonstrates a positive attitude, strong problem-solving capabilities, and precision in data management to support effective fundraising and community engagement efforts.
Physical requirements include the ability to work in an office setting and engage in event setup which may involve lifting and carrying materials up to 50 pounds and working in varying weather conditions. Reliable transportation, a valid driver’s license, and ongoing compliance with background checks are mandatory due to the nature of the role and its interaction with vulnerable populations. This comprehensive role provides an excellent opportunity for individuals passionate about event management and nonprofit work to contribute meaningfully to the welfare of foster youth and the wider community.
