The Event Assistant position offers a hybrid role uniquely blending event planning support with hands-on event execution experience. This entry-level opportunity is designed to immerse individuals passionate about the events and hospitality industry in all facets of event management. Employees in this role work closely with the event planning and sales team, providing essential administrative assistance such as client communications, managing event documentation, scheduling meetings, and supporting vendor management processes. Furthermore, the role transitions into the field as a Venue Captain, where the employee takes the lead on-site at Judson Mill and The 405 venues, overseeing event operations, supervising staff, coordinating with clients and vendors, and ensuring smooth event execution. This includes shift work several evenings and weekends, reflecting the dynamic and fast-paced nature of the event industry.

The ideal candidate will have a strong desire to grow within the hospitality sector, offering excellent organizational skills, outstanding communication, and a proactive attitude toward team collaboration. The role offers a clear growth trajectory, with most employees advancing within one to two years. Work schedules are hybrid between office administration and venue presence, with core office days from Tuesday to Thursday, 9 AM to 5 PM, and event shifts scattered across evenings and weekends. The position requires dedication to company values and punctuality, with expectations to operate with professionalism, adaptability, and customer service excellence in high-pressure situations. Employees must have reliable transportation and the ability to perform physically demanding tasks, such as lifting up to 50 pounds and managing event setups and breakdowns.

Job Requirements

  • Must be at least 21 years of age
  • Must have reliable transportation to and from work and events
  • Must possess a valid driver's license with a clean driving record
  • Must be able to operate company vehicles efficiently and safely
  • Must be able to lift and move up to 50 pounds without assistance
  • Must be able to work independently without supervision
  • Must own a cell phone with text, voice, and data plan for work
  • Must be available for regular nights, weekends, and holidays
  • Must adhere to the company wellness policy

Job Qualifications

  • High school diploma or equivalent
  • Previous experience in hospitality or event-related roles preferred but not required
  • Strong organizational skills
  • Excellent verbal and written communication skills
  • Ability to manage multiple tasks and prioritize effectively
  • Proficiency in using technology and CRM systems
  • Customer service oriented
  • Ability to work both independently and in a team environment
  • Positive attitude and willingness to learn
  • Valid driver's license and clean driving record
  • Ability to work flexible hours including nights, weekends, and holidays

Job Duties

  • Respond to and process client inquiries and questions via phone and email promptly
  • Filter requests to specific team members as needed
  • Update client notes, timelines, layouts, invoices, proposals, and payment schedules
  • Schedule client meetings
  • Complete automated tasks assigned by the CRM system
  • Oversee event vendor approval and tracking process
  • Tour potential clients on venues and sell spaces and services effectively
  • Compile and present sales and performance reports
  • Assist with wedding coordination
  • Run errands and manage special projects
  • Communicate product and service details to clients
  • Ensure customer service standards and manage conflicts
  • Supervise events at venues including set-up, execution, and breakdown
  • Work with clients to exceed event expectations
  • Monitor outside vendors and ensure policy compliance
  • Handle emergencies and issues during events
  • Ensure building life safety plans are followed
  • Provide emergency support for off-site events
  • Set up and break down event equipment
  • Complete light cleaning duties
  • Document event details and inventory through digital forms
