Job Requirements
- Bachelor’s degree or 3+ years equivalent experience in related field
- Excellent oral/written communication skills
- Strong knowledge of entertainment vendors, pricing structures, and production requirements
- Exceptional organizational skills and attention to detail
- Creativity and strong written communication and proposal formatting skills
- Extremely detail-oriented, with ability to manage multiple tasks and projects simultaneously
- Basic computer skills including proficiency in internet, Microsoft Office, Excel and Access
- Ability to maintain a professional demeanor in all situations
- Enthusiastic, hard worker, team player

Job Duties
- Work in collaboration with product development manager and entertainment manager to create, develop, update, manage and consistently improve the entertainment tariff system
- Maintain entertainment tariff files including visual proposals, budget summaries and internal pricing sheets to ensure all departments have access to current details and pricing
- Develop new proposal content and pricing for entertainment tariff files and save new items developed by the design and development team in appropriate tariff files
- Manage the entertainment email account including entering new vendors in dynamics, distributing to appropriate team members for vetting and assisting with development
- Maintain partnerships and relationships with existing supplier partners and actively seek out new vendors for creative, cutting-edge products
- Obtain information and negotiate entertainment costing for DCi destinations nationwide
- Collaborate with entertainment manager and product development manager regarding vendor negotiations to ensure best discounts and rates
- Update DCi systems and maintain vendor accounts in dynamics with contact and pricing details
- Attend all design and development meetings and proactively share strategy information
- Create and manage video links for entertainment offerings
- Serve as resource to design and development team on top vendors and recommended musical and interactive proposal elements
- Support entertainment manager and design and development team with large-scale or complex entertainment proposals
- Complete entertainment proposals assigned by manager or design and development team including research, vendor outreach, pricing and visual proposal content
- Create vendor holds and track correspondence
- Join production calls as needed and provide backup to entertainment manager correspondence
- Manage talent rider folders including vendor communication and documentation
- Prepare and maintain entertainment timelines, production and payment schedules
- Track calendars and reminders for talent payments and deadlines
- Assist entertainment manager with fulfilling rider requirements coordinating with account managers and facilitators
- Support printing and on-site needs including timelines and contract copies
- Assist with final invoice reconciliation related to entertainment and talent
- Provide limited on-site support to entertainment manager during peak workload periods or complex programs
- Support entertainment manager with submitting expenses in a timely manner
- Provide paid time off coverage for entertainment manager as needed
- Attend industry events as needed to further education and knowledge
