The Director of Events at Charlotte Country Club plays a crucial leadership role in shaping and executing the club’s event management strategy. This role involves leading and developing the Event Planning Team to deliver first-class event services that consistently exceed member expectations. The Event Planning Team is dedicated to providing a high-touch, personalized service, assisting hosts in nearly every aspect of their event. Their work spans a wide variety of banquet functions including weddings, dinner dances, golf outings, cocktail receptions, business meetings, celebration dinners, holiday parties, and more. With an annual average of 1,000 private and club events generating over $3 million in function revenue and handling event capacities surpassing 600 participants, this role demands strategic planning, impeccable organization, and exceptional leadership.

The Director of Events is responsible for the overall coordination and success of the club’s event operations, working closely with departments such as culinary, service, and facilities to ensure a seamless and five-star experience for every event. This position requires constant coaching, feedback, and development of the Event Planning team to maintain high standards across all functions. Collaboration both within the club’s leadership and with external vendors is essential to maintain budgets, analyze event profitability, and facilitate smooth event execution.

Additionally, the Director of Events takes an active role in creative event planning, continually developing enticing new event concepts that cater to member interests and demographic trends. This creative approach enhances member engagement and increases event awareness and revenue. The role also involves maintaining detailed event histories, preparing and reviewing event contracts, and coordinating communication with the membership to promote club events through various channels.

The working schedule typically includes Tuesday through Saturday with availability required for mornings, evenings, weekends, and holidays based on operational needs. This flexibility ensures that members receive attentive and responsive event services at all times. Job Requirements

  • Minimum of 5 years of event planning experience
  • minimum of 3 years leading a professional team preferred
  • college degree in related field preferred
  • ability to work in a fast-paced environment
  • availability to work evenings, weekends, holidays, and variable schedules
  • experience with event contracts preparation and review
  • effective communication and leadership skills
  • proficiency in Microsoft Office
  • ability to handle multiple events simultaneously
  • must pass pre-employment background check and drug screen.

  • experience creating and reviewing event contracts involving multiple parties including clients and vendors.

Job Duties

  • Strategize and implement event management strategies for over 1,000 private and club events annually exceeding 3 million dollars in revenue
  • lead and develop the Event Planning Team through coaching, feedback, and training
  • facilitate short and long-term event operations planning with club leadership to increase banquet sales and enhance member experience
  • hire, train, and schedule Event Planning team members, developing comprehensive training materials and standard operating procedures
  • lead weekly and monthly inter-departmental event meetings
  • maintain event profit and loss analysis and manage departmental budgets and expenses
  • coordinate holiday décor procurement and vendor relations
  • liaise with IT to resolve technical issues and manage equipment procurement
  • assist members in planning private events and track prospective bookings
  • develop creative event concepts and themes to engage members and increase event attendance
  • collaborate with culinary and food and beverage teams to ensure event details and formats meet club standards
  • prepare banquet event orders and event diagrams
  • proactively communicate event information to team members and stakeholders
  • attend events to ensure member satisfaction and address issues
  • analyze member feedback and industry trends to tailor events
  • maintain detailed event history files
  • partner with Communications to promote events through visual and written materials.
