Job Description
The Portland Business Journal (PSBJ) is a leading business news organization dedicated to delivering timely, relevant, and insightful content about Portland's dynamic business community. Known for its comprehensive coverage of local industries, economy, and market trends, PSBJ offers its audience a trusted source of information that empowers business decisions and fosters community connections. We are seeking a highly organized and proactive Events Manager to join our team. This role is pivotal in driving the success of both in-person and virtual events that PSBJ hosts throughout the year. The Events Manager will be responsible for full lifecycle event management — from initial planning and budgeting to execution and post-event analysis. This position demands someone who is adept at managing every detail of event operations, including vendor selection, contract negotiations, timeline creation, staffing coordination, and marketing promotions. The ability to seamlessly manage virtual environments as well as live events is essential, as the Events Manager will lead and orchestrate events using platforms such as Zoom, TEAMS, or WebEx.
In this role, you will be the central point of contact for internal teams, external vendors, sponsors, and attendees. You'll develop detailed budgets, forecast attendance, and oversee all income and expense tracking to ensure financial targets are met without compromising the event experience quality. Cultivating strong relationships with vendors—ranging from caterers to audiovisual professionals—is critical to securing optimal trade agreements and maintaining excellent event standards.
The Events Manager will also be instrumental in developing event content by partnering with market publishers to select speakers and scheduling presentations and sponsor segments. You will have the responsibility of scripting program elements and orchestrating sponsor activations, ensuring that all stakeholders receive proper recognition and full contract deliverables are met.
Marketing support is a significant component of the role, encompassing the preparation of promotional campaigns via house ads, direct mail, and email broadcasts, and the meticulous review of all event-related materials to protect the integrity of the PSBJ brand. Post-event responsibilities include analyzing event success metrics, managing invoicing, and producing detailed summaries of expenses, attendance, and overall performance.
Professional development is encouraged, with participation in ACBJ and business unit training sessions, as well as at least one external training opportunity each year. This position reports to the Publisher and requires flexibility to assist with miscellaneous duties as necessary to support PSBJ’s operational goals.

Job Requirements
- College degree or comparable work experience
- 3-5 years preferred experience in event management
- Strong proficiency with Office 365 products including Excel, Word, and Teams
- Ability to function in a virtual environment and lead virtual meetings and events using Zoom, Teams, WebEx or similar platforms
- Excellent organizational and negotiation skills
- Effective communication and interpersonal abilities
- Ability to multitask and manage detailed projects successfully
Job Qualifications

Job Duties
- Prepare detailed budgets and forecasts of event attendance, income and expenses
- Gather, compare and present price quotes for all event related expenses
- Select site, caterer, accessories, and other vendors
- Negotiate and sign contracts for services rendered
- Develop detailed timelines for each event
- Determine and communicate staff and client responsibilities
- Choreograph and manage event day
- Select and schedule event speaker/presentation and sponsor program participants in partnership with market publisher
- Script sponsor presentations and main program
- Manage ticket sales through the online registration process and oversee attendance lists
- Develop relationships with outside vendors such as hotels, restaurants, caterers, audio visual companies, florists
- Utilize vendor trades to produce a high-quality event with the lowest cash outlay
- Track trade schedules to assure contract completion
- Prepare pre and post event promotions through house ads, direct mail, and broadcast emails
- Assist with proofreading of all promotional material, advertising, and event programs
- Prepare and present post-event analysis including invoicing approval, expense summaries, RSVP and attendance lists, and no-shows
- Organize and facilitate sponsor meetings as necessary
- Gather sponsor bios and company promos for event recognition
- Ensure sponsor deliverables are addressed throughout the event process
- Assist advertising team to ensure events meet client needs
- Provide creative recommendations for sponsors and on-site event activations
- Participate in applicable training offered by ACBJ and business unit
- Engage in at least one external training opportunity annually
- Assist with any other tasks requested by the Publisher
