The Dental Receptionist position at Northern Valley Indian Health plays a critical role in maintaining an environment of goodwill and excellent patient service. Reporting to the Clinic Support Supervisor, this role involves managing front office responsibilities which are vital to the smooth operation of the dental clinic. The receptionist will act as the first point of contact for patients, providing a welcoming and supportive atmosphere while managing tasks including patient scheduling, registration, billing support, medical records management, data entry, and administrative assistance. The role requires the individual to handle sensitive information with the utmost discretion, maintain HIPAA compliance, and work collaboratively with both clinical and administrative staff.

Job Requirements

  • High school diploma or equivalent
  • One year of customer service or clerical office experience
  • Ability to communicate effectively both verbally and in writing
  • Knowledge of healthcare insurance systems including Medi-Cal, Private Insurance, and Fee-for-Service
  • Computer proficiency including experience with electronic health records
  • Familiarity with HIPAA/HITECH privacy regulations
  • Reliable transportation
  • Ability to maintain regular attendance and punctuality

Job Qualifications

  • High school diploma or equivalent
  • One year of customer service or clerical office experience
  • Previous experience in a healthcare setting preferred
  • Proven ability to provide excellent customer service
  • Effective verbal and written communication skills
  • High level interpersonal and time management skills
  • Knowledge of healthcare insurance systems including Medi-Cal, Private Insurance, and Fee-for-Service
  • Computer skills including scheduling, data entry, and electronic health record systems
  • Familiarity with HIPAA/HITECH regulations and privacy laws
  • Ability to work independently and in a team environment

Job Duties

  • Work as a team with other staff to provide the best patient experience including cordial customer service, teamwork with other work units and collaboration within front and back-office support team
  • Welcome and greet patients, clients, and visitors in a helpful and friendly manner and determine their purpose of visit to direct them accordingly
  • Provide information to incoming callers according to established policies and transfer calls as needed while ensuring adequate phone coverage
  • Schedule patient flow based on established protocol and guidelines allowing the clinic to serve an adequate number of patients
  • Screen patient registration information and other documents to ensure all information is accurate and updated in the computer systems
  • Gather pertinent information via EHR and from clinical team to accurately complete, process, and track referrals timely
  • Utilize third party payer and insurance portals accurately and effectively
  • Coordinate with providers and support staff to aid in the proper use of billing codes to meet third-party payer requirements
  • Perform advanced preparation for patient appointments including updating patient demographics, insurance coverage, and specialty reports
  • Maintain accurate medical records following industry standards, guidelines, and NVIH policy
  • Process releases of information requests in compliance with privacy regulations and NVIH policies
  • Practice confidentiality and privacy protocols in accordance with HIPAA and HITECH requirements
  • Perform other duties as assigned
