The Day-of Event Coordinator role at American Golf plays a vital part in the execution of successful events held at their venues. This position involves managing the logistics on the day of the event, coordinating with vendors and staff, overseeing the setup according to the Banquet Event Order (BEO), and ensuring that timelines are strictly followed. Acting as the on-site liaison, the Day-of Event Coordinator works directly with clients, vendors, and internal teams to provide exceptional service and create seamless event experiences. The coordinator is responsible for supervising event spaces from setup through completion, addressing any issues promptly and professionally while preserving the venue’s high standards of quality and hospitality. Events managed can range from weddings, receptions, ceremonies, presentations, entertainment functions, to corporate and social gatherings.
This position requires strong organizational skills, the ability to handle multiple priorities independently, and exceptional communication capabilities. The coordinator ensures safety policies and contractual obligations are upheld, and they complete post-event reports and checklists. By providing feedback and supporting the event sales team, the coordinator contributes to improving event services continuously. Job Requirements
- High school diploma required
- Previous hospitality or event coordination experience preferred
- Strong communication and interpersonal skills
- Ability to manage multiple tasks and work under pressure
- Availability to work evenings, weekends, and holidays as needed
- Ability to stand and walk for extended periods during events
- Physical capability to lift, bend, kneel, and reach as required
Job Qualifications
- Previous hospitality experience preferred
- Strong customer service orientation and professional communication style
- Highly organized with strong time management and follow-through
- Comfortable working independently and managing multiple priorities
- High school diploma required
- Associate degree preferred
Job Duties
- Serve as the primary on-site contact for clients and vendors on the day of the event
- Review and execute all event details according to the finalized Banquet Event Order (BEO)
- Conduct pre-event walkthroughs to verify room layouts, decor placement, signage, linens, and event setup
- Coordinate event logistics by communicating with internal departments to ensure course and facility readiness
- Monitor service flow during events and assist with guest needs when required
- Coordinate ceremony, reception, presentations, entertainment, and other event transitions
- Handle client requests and resolve issues promptly and professionally while minimizing disruption to the event
