The position available is an Executive Assistant role supporting the Executive Chef and Director of Food & Beverage at Fairmont Grand Del Mar. This role is crucial in managing communication, scheduling, and operational tasks within the culinary and food and beverage departments. Responsibilities include handling emails, tasks, and calendars for senior food and beverage leadership, maintaining and updating the chef’s communication board with daily, weekly, and monthly information, and ensuring accurate attendance records to meet payroll deadlines for the culinary team. The role also requires managing the daily food costing tracker to provide up-to-date insights into food costs for the Executive Chef. Additional duties involve collaborating with engineering and stewarding teams by documenting and following up on maintenance and operational issues, maintaining temperature record logs from all kitchen outlets, and assisting with the Birch Street recipe catalog to ensure recipe accuracy and cost control. This position demands proactive project management to support culinary initiatives within stipulated timelines and involvement in employee performance reviews, recruiting and departure processes, as well as creating presentations and scheduling departmental meetings. There is a strong focus on maintaining standards aligned with the resort’s expectations, including LQA, EES, Forbes, Ecosure, and Fairmont Grand Del Mar quality benchmarks. Job Requirements
- high school diploma or equivalent
- previous administrative experience required
- proficiency in ms office suite including word excel and outlook
- excellent organizational and multitasking abilities
- effective written and verbal communication skills
- ability to work independently and manage time efficiently
- experience with birchstreet and payroll systems preferred
- knowledge of food and beverage operations an advantage
- willingness to work collaboratively in a fast paced environment
Job Qualifications

- previous computer experience with ms word excel outlook
- strong organizational and prioritization skills with administrative experience
- strong business communication skills including composing faxes and letters
- ability to work unsupervised and meet deadlines

Job Duties
- manage emails tasks and calendars for the executive chef and director of food and beverage
- print update and post information for the chef's communication board daily weekly monthly
- complete and ensure accuracy of time and attendance for culinary division to meet payroll deadlines
- enter information into food costing tracker daily for accurate food cost updates
- participate in engineering and stewarding walks with chef and team and update punch lists
- collect and file weekly ecosure temperature records from all kitchens
- assist with birch street recipe catalogue entry and ensure accurate food costs
- proactively complete culinary projects within given timeframes
- coordinate completion of employee performance reviews
- assist with recruitment and departure processes
- create powerpoint presentations and schedule departmental meetings
- contribute to daily growth through understanding of operational standards
- collaborate on promotions menus and special events
