Job Requirements

  • Bachelor's degree
  • Minimum 3 years of full-time event management experience
  • Must reside in the NYC tri-state area
  • Experience with in-person and hybrid events
  • Willingness to travel for site visits and event management
  • Flexible schedule including evenings, weekends, and extended hours
  • Ability to lift materials up to 30 lbs
  • Hybrid role requiring at least 4 days per week in NYC office
  • Approximate 20% annual travel
  • Strong communication and teamwork skills

Job Qualifications

  • Bachelor's degree
  • Minimum of 3 years of full-time event management experience
  • Strong corporate event planning background with C-suite experience
  • Proficiency in Microsoft Office Word, Excel, and PowerPoint
  • Experience with in-person and hybrid events
  • Experience with contract negotiation
  • Strong presentation, negotiation, and interpersonal skills
  • Experience with meeting management software such as Cvent is a plus

Job Duties

  • Lead planning of assigned meetings and events by establishing vision and overseeing ideation, planning, and execution
  • Identify, research, and secure meeting venues through site inspections and contract negotiations
  • Develop and manage event budgets, track expenses, review and process vendor invoices and wire transfers, and conduct post-event budget reconciliation
  • Manage comprehensive event services including venue management, contracting, timelines, communications, registration, hotel arrangements, transportation, food and beverage, décor, speaker and sponsor coordination, AV/production, branding, mobile apps, off-site activities, shipping, and on-site supervision
  • Establish and cultivate strong relationships with hotels, restaurants, and third-party providers
  • Gather feedback from attendees, analyze event metrics, and prepare post-event reports
  • Support development to optimize event planning process, standardize budget tracking, control expenses, leverage event technology, analyze event success, and improve attendee experience
