This role as the Customer Events Coordinator is a vital position within the company, tasked with the comprehensive planning, coordination, and execution of all activities associated with the Customer Experience Center. The coordinator is entrusted with ensuring seamless logistics management, effective communication with stakeholders, and delivering an exceptional hospitality experience to every visitor. This includes the responsibility to maintain the facility in a visitor-ready state at all times, overseeing cleanliness, supplies, AV and IT functionality, and compliance with safety standards.
In addition to managing physical events, this position carries the important responsibility of supporting virtual training initiatives by handling webinar platforms like GoToWebinar. While content creation is outside the scope of this role, the coordinator quickly becomes adept at managing technical aspects, hosting sessions, and ensuring professional and engaging virtual event experiences. The role demands a high degree of multitasking and organizational skills, as it bridges in-person and online event management, budget tracking, vendor coordination, and cross-departmental collaboration.

Job Duties
- Plan and schedule training classes, workshops, and plant tours
- manage attendee registration and communications including invitations, confirmations, and reminders
- coordinate with internal teams and external vendors for lodging, catering, transportation, and AV needs
- oversee room setup, AV readiness, and materials for training
- ensure timely setup, tear-down, and cleaning of event spaces
- maintain facility readiness including cleanliness, supplies, restocking, AV/IT functionality, and safety compliance
- serve as the main point of contact for visitors, ensuring a welcoming and professional experience
- develop customized itineraries for guests and monitor satisfaction for continuous improvement
- schedule and manage webinars including registration and attendee communications
- act as technical host during webinars managing audio/video, screen sharing, and troubleshooting issues
- become proficient in GoToWebinar or similar platforms and apply best practices for virtual events
- track attendance and engagement metrics and report insights for improvement
- maintain enrollment and attendance records for both in-person and virtual events
- track budgets for events and webinars, manage invoices and expense reconciliation
- collaborate with training managers, sales leadership, operations, and plant managers to design visit agendas and support virtual training needs
- be available for occasional non-standard hours for events or webinars
