The Corporate Event & Travel Coordinator position at Pacific Office Automation plays a pivotal role in enhancing employee engagement, supporting company-wide events, and managing corporate travel logistics. This role requires a highly organized, proactive, and detail-oriented individual who can juggle multiple responsibilities simultaneously while maintaining a strong focus on delivering exceptional experiences. The coordinator will be responsible for planning and executing a variety of internal events including meetings, retreats, incentive trips, holiday parties, and employee engagement activities, all with the goal of fostering a positive and collaborative company culture.

In addition to event planning, the role involves managing corporate travel arrangements for employees and executives, ensuring smooth and efficient travel experiences through effective coordination of flights, hotels, transportation, and itineraries. The coordinator will also oversee the company's travel and expense platform, Ramp, providing user support, tracking expenses, enforcing policy compliance, and generating reports to maintain operational efficiency. Vendor and budget management are critical components of the role, requiring strong negotiation skills and fiscal responsibility to manage contracts and track financial transactions related to events and travel.

Ideal candidates for this role possess a bachelor’s degree in event management, marketing, hospitality, business, or a related field, coupled with at least three years of relevant experience in event planning or travel coordination. They are excellent communicators and negotiators, capable of problem-solving under pressure while managing multiple projects in a fast-paced, deadline-driven environment. Flexibility to work outside regular business hours, including evenings and weekends, is essential to support the varied demands of the role.

Job Requirements

Job Duties

  • Plan, organize, and execute events including meetings, retreats, incentive trips, holiday parties, and employee engagement activities
  • Develop creative event concepts aligned with company culture and business objectives
  • Coordinate event logistics such as venue selection, catering, audiovisual needs, transportation, accommodations, and entertainment
  • Create detailed timelines, run-of-show documents, and contingency plans
  • Partner with internal stakeholders to ensure alignment of messaging, branding, and objectives
  • Manage communication and invitations through various channels
  • Collect post-event feedback and reporting to improve experiences and ROI
  • Support employee engagement initiatives and company culture programs
  • Coordinate corporate travel arrangements including flights, hotels, transportation, itineraries, and travel support
  • Assist employees with travel-related questions, logistics, and troubleshooting
  • Manage the company travel and expense platform Ramp including user support, expense tracking, policy compliance, and reporting
  • Negotiate rates and ensure seamless travel experiences with travel partners, hotels, and vendors
  • Maintain travel processes and documentation for operational efficiency
  • Manage and track event budgets maintaining quality and cost efficiency
  • Negotiate contracts with venues, hotels, travel providers, caterers, entertainment, and other vendors
  • Track invoices, payments, and reconciliations for events and travel expenses
  • Ensure compliance with company policies, safety standards, and legal requirements
