The Client Concierge plays a crucial role within the dynamic team at It's A Secret Med Spa, serving as the face and voice of the spa to every client who walks through the door or calls on the phone. This role involves warmly greeting clients, providing basic education about the diverse array of services available, and ensuring that every visitor experiences a seamless, positive, and welcoming atmosphere. The Client Concierge is responsible for managing front desk operations, including patient check-in and check-out, answering calls, overseeing inventory counts, and maintaining supplies so they are always well-stocked. A clean, professional environment is essential, and the Client Concierge contributes by upholding these standards throughout the facility.

Supporting providers and managers with client scheduling, the Client Concierge plays an instrumental part in maintaining an organized appointment book and ensuring that all client data and employee information are accurately updated in the point-of-sale (POS) system. Adherence to company policies and procedures is paramount, helping to streamline processes and deliver consistent, high-quality service. This role requires an individual with excellent communication skills, a friendly and enthusiastic disposition, and the ability to multitask while attentively responding to client and business needs. Job Requirements

  • High school diploma or equivalent
  • Minimum 1 year customer service experience
  • Flexible schedule with weekend availability required
  • Previous experience in med spa or medical office preferred
  • Must maintain patient confidentiality per HIPAA
  • Ability to sit or stand for long periods
  • Ability to reach above shoulder height, crawl, kneel, and push/pull up to 50 lbs
  • Must demonstrate strong ethical foundation and integrity
  • Excellent interpersonal skills
  • Other duties as assigned

Job Qualifications

  • Previous customer service experience
  • Excellent written and verbal communication skills
  • Ability to communicate with proper etiquette
  • Ability to multitask and be attentive to clients
  • Ability to work as part of a team and take initiative
  • Enthusiastic, friendly, and energetic personality
  • Knowledge of HIPAA regulations and patient confidentiality
  • Sound judgment, problem-solving, and decision-making skills
  • Working knowledge of Microsoft applications
  • Bilingual preferred
