The Coordinator, Talent Relations & Events role is pivotal in supporting the Director of Talent Relations & Events alongside the broader Talent & Events team. This position is responsible for the comprehensive support of event development, conceptualization, and seamless execution of in-person events that often have significant public and media attention. The coordinator's role involves hands-on involvement in managing event logistics such as RSVP tracking, facilitating communications between the publicity team and other organizational departments, and maintaining detailed organization of event details. These events range from count-down to Christmas publicity events, screenings, premieres, awards ceremonies, seasonal stunt activations, and large-scale brand experiences. Beyond event logistics, the coordinator oversees talent relations efforts by managing essential departmental systems and documents—including talent contact sheets, gifting processes, handling talent requests from various stakeholders, and assisting with administrative duties related to the entire talent relations and events division. This multifaceted role demands a high level of professionalism, strong organizational skills, and the ability to manage multiple projects simultaneously. The successful applicant will be a proactive self-starter who excels at written communication and thrives in collaborative environments. Job Requirements

  • 2-3 years of events, public relations, production or related experience
  • bachelor’s degree preferred in communication, marketing, public relations, english or related field
  • strong writing, communication, and organizational skills
  • proficiency in microsoft word, excel, powerpoint, outlook
  • familiarity with canva, photoshop, davinci and smartsheet
  • experience with social media platforms
  • reliability and eagerness to provide business results
  • ability to maintain professionalism, integrity and confidentiality
  • thoroughness and self-starting nature with strong organizational skills
  • ability to work independently and as part of a team
  • flexibility and multitasking ability
  • availability for periodic travel

Job Qualifications

Job Duties

  • assist in all publicity events and talent relations efforts
  • coordinate work activities with teammates and cross-functional teams
  • manage administrative systems and procedures including maintaining department documents, processing invoices, and updating trackers and calendars
  • curate invite lists, follow up and track responses, send confirmation details
  • coordinate logistics for events including Countdown to Christmas, screenings, premieres, awards, and seasonal activations
  • support talent relations efforts such as creating onboarding decks, drafting messaging, and event communications
  • collaborate on project plans including timelines and budgets
  • organize flights, car services, hotel rooming lists, and itineraries
  • attend meetings and conference calls
  • assist with purchase orders and submitting invoices
