The role being offered is a vital support position within Paramount's dynamic event management team. The position focuses on assisting the Event Managers and the Executive Director of Operations in the comprehensive planning, execution, and administrative processes associated with both internal and external events. The candidate will collaborate with vendors, coordinate event details such as venue selection and rentals, handle administrative duties including maintaining master event calendars and managing financial documentation like purchase orders and vendor agreements. Job Requirements
- 2+ years experience in an administrative role
- basic understanding of accounting and purchase order processing
- proficiency in Microsoft Office suite and relevant software
- excellent organizational and multitasking skills
- strong communication and interpersonal skills
- ability to work flexible hours including after-hours and weekends
- willingness to submit to a background check
- unrestricted authorization to work in the United States
Job Qualifications
- Bachelor’s degree preferred
- 2+ years experience in an administrative role
- previous experience with basic accounting and purchase orders
- basic event coordination training
- special events coordination background
- strong vendor relations skills
- strong computer proficiency including Word, Outlook, Excel, PowerPoint, accounting programs, and customer management programs
- detail oriented
- strong multitasking abilities
- good written and verbal communication skills
Job Duties
- Support and assist Event Managers and Executive Director of Operations on event prep
- manage logistics of multiple events simultaneously
- answer calls for Event Manager as needed
- maintain relationships with vendors
- assist with planning event aspects including venue securing and obtaining quotes
- handle set-up and rental orders
- administer pull sheets
- assign labor to appropriate project numbers
- maintain master and Event Manager calendars
- liaise with accounting, finance, studio services, and other departments
- manage guest lists and generate gate passes for site tours and events
- promote venues and vendor offerings during site tours
- monitor event budgets
- assist with day-of event operations including problem-solving and vendor coordination
- present event ideas and plans to clients and vendors
- handle S.O.'s, P.O.'s, COI’s and vendor lot agreements
- follow up on vendor payments
- manage additional responsibilities including after-hours and weekend events
