Job Description

The Studio City Event Center, a vital division within the Entertainment Operations sector, is a premier events venue known for hosting a diverse range of performances, conferences, and entertainment experiences. The role of Coordinator, Event & Operations, is integral to the success of Studio City Event Center events. Reporting directly to the Manager of Event & Operations, this position plays a key support role in the development, implementation, and execution of event programs and activities. The coordinator assists with everything from scheduling and liaising with various departments to on-site event management and post-event billing activities. It is a multifaceted position that requires strong organizational skills, a proactive approach, and the ability to manage multiple aspects of event operations efficiently. This role offers an exciting opportunity to work closely with event managers, promoters, ticketing, finance, and technical teams to deliver exceptional event experiences.

The Coordinator is responsible for assisting in managing the logistical details that ensure the event space and resources are optimally prepared and utilized. This includes coordinating part-time support staff such as ushers, working directly with hirers to understand and finalize their event requirements, and ensuring compliance with show riders and production needs. The Coordinator also liaises with the Ticketing Department to confirm that ticketing plans are appropriately configured before ticket sales commence, ensuring a seamless customer experience. Furthermore, the role involves supporting onsite merchandise sales coordination and promoter equipment management in collaboration with the technical department. Additionally, the Coordinator works closely with the Finance Manager to prepare and monitor event billing, maintaining accurate financial records related to each event.

On the event day, the Coordinator provides essential on-site support by overseeing venue setup according to specifications, responding quickly and effectively to emergencies, managing customer concerns, and escalating issues when necessary to higher-level managers. Flexibility is crucial as the position requires working irregular hours including evenings, weekends, and holidays to align with event schedules. The ideal candidate is a detail-oriented, enthusiastic team player who is a self-starter, capable of juggling multiple tasks while maintaining a positive attitude. Computer literacy, especially in Word, Excel, and PowerPoint, is essential, alongside excellent communication skills in both English and Chinese. Prior experience in an events-related role and familiarity with venue operations will be an advantage for prospective candidates. Job Duties

  • assist event managers in all aspects of event operations
  • coordinate part-time support staff with the appropriate department for designated events
  • liaise and coordinate with hirers to establish and finalize their event needs and requirements per show riders
  • oversee all aspects of event delivery with promoter and various departments from start to finish
  • liaise with ticketing department to ensure the right plan is configured before tickets go on sale
  • help coordinate the sale of merchandise on site
  • help coordinate promoter equipment needs with ETD department
  • prepare and monitor event billing activities with finance manager and team
  • prepare venue requirements as instructed and ensure facilities are set up properly for events
  • provide on-site support and respond to emergency situations
  • handle customer issues and escalate complaints to duty manager
  • handle ad-hoc projects and events as required
  • adhere to all company policies and procedures
