The full-time Convention Service Manager role at the Hilton Phoenix Resort at the Peak is an integral position within the Convention Services Department. The individual in this role will be responsible for the efficient and professional coordination of assigned convention or meeting groups, ensuring smooth execution and outstanding service delivery. This role requires a dynamic individual who can handle a variety of administrative duties, serve as a liaison between multiple hotel departments, and coordinate detailed requirements for each function to exceed client expectations.

This position involves close cooperation with various departments such as sales, front office, and reservations, managing guest room blocks, and special reservations while overseeing banquet and meeting room setups tailored to clients' needs. The Convention Service Manager will perform walking site inspections, maintain effective communication to provide clear directions to staff, and support sales staff in promoting the hotel's facilities, developing leads, and securing re-bookings. Additionally, the role demands organization and documentation of group activities, pre and post-convention client meetings, and troubleshooting during events to ensure flawless execution.

Job Requirements

  • High school diploma or equivalent
  • Experience in convention services or hospitality event management
  • Ability to communicate effectively in English
  • Proficient in use of computer systems
  • Ability to work flexible schedules including standing and walking for extended periods
  • Physical capability to lift and carry up to 50 pounds
  • Willingness to maintain professional appearance
  • Demonstrated teamwork and communication skills

Job Duties

  • Perform administrative duties relevant to account responsibilities in compliance with corporate guidelines
  • Document and organize detailed requirements of each function
  • Coordinate activities of various departments to service accounts, such as directing room service in the creation and delivery of VIP amenities
  • Communicate with sales, front office and reservations to coordinate and monitor guest room blocks and special reservation needs
  • Assign banquet/meeting rooms setup based on client needs like classroom or rounds
  • Review banquet associates’ work to ensure accuracy
  • Monitor in-house group activity and assist as needed including organizing exhibit setup
  • Establish rapport with and entertain meeting planners while promoting hotel facilities and services
  • Conduct walking site inspections throughout the property
  • Advise sales staff on client demands like phone requirements, available space fit and materials such as booths
  • Assist sales staff in promoting the hotel, developing leads and securing re-bookings
  • Plan and conduct pre and post convention meetings with clients and respective departments
  • Document tracking of group activity
  • Access and input data into computer systems to generate account history reports
  • Communicate both verbally and in writing to provide clear direction to staff
  • Comply with attendance rules and maintain regular availability
  • Perform any other job related duties as assigned
