Job Description

Marriott Hutchinson Island Resort, Golf & Beach Villas is a prestigious hotel and resort destination located on Hutchinson Island, known for its stunning oceanfront views, luxurious accommodations, and exceptional amenities. This resort provides guests with an idyllic getaway experience combining world-class golf, pristine beaches, and upscale villa accommodations. The resort is currently seeking a highly skilled Convention Services Manager (CSM) to oversee and manage the seamless execution of all group events and conventions that are handled through the Sales Department. This full-time position requires a dedicated professional who can coordinate and communicate every detail associated with events to ensure complete client satisfaction. As a pivotal link between clients, sales, and various hotel departments, the Convention Services Manager will play a crucial role in delivering exceptional event experiences that drive repeat bookings and positive referrals.

In this role, the Convention Services Manager will be responsible for providing exemplary customer service to both internal partners and external clients at all times. The successful candidate will demonstrate strong communication skills to promptly respond to inquiries and deliver clear, professional information aligned with Concord Hospitality's standards. Attention to detail, organizational skills, and time management capabilities are essential for meticulously managing event particulars including room blocks, meeting spaces, event orders, banquet event orders, billing details, contract clauses, and group history. The CSM will actively participate in client site visits, tasting panels, and planning meetings, ensuring proactive engagement and thorough preparation for each event.

Additionally, the Convention Services Manager will work closely with revenue management and other hotel teams to forecast group room and food & beverage revenues accurately, maximizing hotel profitability. Knowledge of the hotel's function spaces, food and beverage offerings, pricing, and audiovisual capabilities is crucial to delivering successful events. The role also requires proficiency in digital sales systems such as Delphi, CITY, and PMS, aligning with the hotel’s revenue strategies.

The Convention Services Manager is expected to possess a team-oriented mindset, fostering collaboration and exhibiting entrepreneurial spirit. They will often work independently with minimal supervision but also lead and support team efforts to achieve shared goals. Due to the nature of event management, flexibility in schedule and willingness to attend events outside regular hours is a necessity.

Job Requirements

  • High school diploma or equivalent
  • Minimum of two years experience in event or convention services management
  • Strong communication skills
  • Proficiency in Microsoft Office and event management software
  • Ability to work flexible hours including evenings and weekends
  • Willingness to attend off-site customer functions
  • Strong organizational skills
  • Ability to multitask and work well under pressure

Job Qualifications

Job Duties

  • Provide the highest levels of customer service to internal partners and external clients at all times
  • Deliver a successful experience for the planner and attendees with the goal of garnering both repeat and referral business
  • Respond in a quick, timely, and professional manner to all internal partners and external customers, and deliver clear and concise communication representative of Concord Hospitality
  • Demonstrate excellent time management, self-motivation, and organizational skills with a keen focus on details
  • Prepare and participate in all necessary internal meetings, conference calls, reporting, planning, and communication
  • Prepare for and participate in client site visits, tasting panels, pre- and post-convention planning meetings, networking, and other customer-centric engagements
  • Monitor and manage all aspects of pre-event, event, and post-event details including room blocks, meeting space, special concessions, group history, key dates, contract clauses, event orders, banquet event orders, billing details
  • Work with internal and external partners to accurately forecast group rooms and food and beverage revenues
  • Gain knowledge of hotel's food and beverage products, pricing, presentation, function space, audiovisual, and other event details
  • Learn and use digital sales systems such as Delphi, CITY, PMS and understand revenue strategies to accomplish goals
  • Attend customer functions as needed and work varying schedules and locations as required
  • Work independently with minimal supervision and lead team efforts fostering collaboration and a unified work environment
  • Adopt an entrepreneurial spirit to make optimal decisions for hotel and team goals
