The role of Conference Services Manager at Hotel Van Zandt is an exciting opportunity for a highly motivated individual passionate about event coordination and hospitality. This full-time position is instrumental in planning, organizing, and managing all the in-house details for group and convention bookings. The Conference Services Manager will act as the main liaison throughout the entire event lifecycle—from negotiating room rates and booking meeting spaces to coordinating menus, event setup, and special VIP needs. This role demands an individual who pays meticulous attention to detail while maximizing revenue through efficient space utilization and exceptional customer service. Beyond logistics, the Conference Services Manager is responsible for fostering strong relationships with clients, ensuring their expectations are met or exceeded, and working cross-functionally with hotel departments to deliver seamless event execution. Job Requirements

  • More than two years of post high school education
  • One to two full years of employment in a related position
  • Working knowledge of banquet and catering food and beverage services, policies or operations
  • Knowledge of computer equipment
  • Ability to compile facts and figures as per established procedures
  • Supervisory skills
  • Communication skills to provide information and services to hotel management and guests
  • Excellent hearing for verbal interactions
  • Excellent vision for viewing set-ups
  • Excellent speech communication skills
  • Ability to lift, push, pull, and carry up to 50 pounds occasionally
  • Ability to bend and kneel occasionally
  • Mobility for client service on short notice
  • Continuous standing for observation and inspections
  • Ability to climb stairs
  • Capability to work indoors primarily with occasional exposure to extreme weather conditions.

Job Qualifications

  • More than two years of post high school education
  • One to two years of experience in a related position within this company or other organizations
  • Working knowledge of banquet and catering food and beverage services, policies, and operations
  • Proficiency in computer equipment usage
  • Ability to compile facts and figures in accordance with standard procedures
  • Supervisory skills
  • Strong communication skills for effectively providing information to hotel management and guests
  • Excellent hearing, vision, and verbal communication skills required for guest and associate interactions.

Job Duties

  • Plan, organize and manage in-house details for group and convention bookings including guest rooms, menus, and setup
  • Participate in negotiating meetings, rooms, rates, and all related requirements
  • Ensure maximization of room and meeting space, revenues, and profits while delivering quality products
  • Coordinate all event planning needs from contract signing through event execution including VIP accommodations and rooming lists
  • Attend banquet event order and staff meetings and serve as a team leader for hotel department staff involved in event delivery
  • Maintain thorough, accurate, and organized documentation for client service and internal use
  • Develop customer profiles and maintain effective communication and trace systems to enhance account service and revenue
  • Handle client needs, inquiries, and complaints efficiently to ensure customer satisfaction and repeat business
  • Detail and verify program aspects such as space requirements, audio-visual equipment, menus, and decorations in collaboration with clients
  • Oversee billing and financial aspects for hotel groups including deposits, direct bill applications, credit authorizations, in coordination with accounting
  • Monitor and control client event budgets to maximize revenues and minimize expenses
  • Lead pre-conference meetings coordinating between clients and hotel staff to review banquet event orders
  • Close out groups including sales system reporting and commission processing
  • Participate in development and improvement of sales tools, systems, and competitive analysis to enhance convention services products.
