The role of Conference Center Coordinator in the Washington, D.C. office is essential to the day-to-day operational success of King & Spalding’s conference center. This position supports a fast-paced, client-focused law firm environment where professionalism and discretion are paramount. The Conference Center Coordinator acts as the primary coordinator for the scheduling, setup, and execution of meetings and events, working closely with attorneys, business services staff, clients, and visitors to ensure that every interaction and event meets the firm’s high standards. The role requires meticulous attention to detail and exceptional organizational skills to anticipate needs, manage conflicting demands, and facilitate seamless event operations.
This position involves comprehensive oversight of room scheduling, room configuration, audiovisual setup, and catering logistics, ensuring each meeting space is prepared and maintained to perfection. The Conference Center Coordinator also serves as a backup to the Conference Center Manager, providing leadership and support to maintain continuous operations during absences. The role demands flexibility to handle last-minute requests and changes with professionalism and poise, while maintaining a welcoming, client-centered demeanor.

Job Requirements
- High school diploma or equivalent
- prior experience supporting client-facing meetings or events
- strong customer service skills
- ability to manage multiple priorities simultaneously
- flexibility to work early mornings, evenings, or occasional weekends
- ability to stand and walk for extended periods
- ability to lift, carry, push, or pull up to 30 to 40 pounds
- commitment to discretion and confidentiality
- excellent communication skills
- proficiency with scheduling and audiovisual technologies
Job Qualifications
- High school diploma or equivalent
- associate’s degree or coursework in hospitality management, facilities management, business administration, or related field preferred
- prior experience in a law firm, professional services firm, corporate conference center, or high-end hospitality environment preferred
- demonstrated experience supporting client-facing meetings, executive level events, or confidential business functions
- familiarity with legal or professional services environment including discretion, confidentiality, and high service standards
- equivalent combination of education, training, and experience considered
- strong customer service orientation with polished, professional demeanor
- excellent organizational and time management skills
Job Duties
- Coordinate daily conference center operations including managing room scheduling, overseeing setups and breakdowns, ensuring seamless turnover for meetings and events
- Serve as the secondary on-site contact for meeting hosts, attorneys, business services staff, and guests, delivering a professional and welcoming experience
- Assist with arranging and overseeing room configurations such as furniture layouts, room resets, signage placement, and meeting readiness
- Coordinate basic audiovisual needs including video conferencing, presentations, and hybrid meeting setups, partner with IT or AV support to resolve technical issues
- Monitor the conference room scheduling system for updates, changes, and new bookings, addressing scheduling conflicts
- Respond promptly to last-minute requests, schedule changes, and service issues with flexibility and problem-solving skills
- Process catering invoices and reimbursements accurately and timely ensuring proper documentation and adherence to policies
