We are currently seeking a Concierge (Director of First Impressions) to join our Member Services Department. In this pivotal role, you will be the welcoming face of the community, playing an essential part in forming first impressions for prospective residents, guests, and family members. This position requires a professional who is warm, courteous, and efficient in managing inquiries and providing administrative support. As the Concierge, you will collaborate closely with Lifestyle Advisors and Healthcare Marketers to ensure that every interaction is positive and memorable.

The Concierge’s responsibilities extend beyond greeting visitors; you will manage essential communication channels, including answering telephone calls, pages, and walkie-talkies. Supporting community sales efforts is also a key function, as you will engage visitors, collect important information, and promote The Gables as a premier senior living community. You will assist in promoting programs, outings, and events, encouraging participation and assisting with registrations to foster resident engagement.

Maintaining safety and security is a top priority. The Concierge monitors security systems, including emergency call systems, and responds appropriately to ensure a safe environment for all. Operational responsibilities include managing office equipment, handling mail and newspaper deliveries, and assisting with inventory management for office and community supplies. You will participate in mandatory in-service training sessions and uphold HIPAA standards, ensuring confidentiality for all resident and employee health information.

This full-time position operates primarily from 8 a.m. to 4 p.m., Monday through Friday, with some weekend and holiday hours required. The ideal candidate will be comfortable performing a variety of physical tasks, such as standing, walking, lifting up to 25 lbs, and using office equipment for extended periods. While travel is not generally expected, occasional trips for training or company events may be necessary.

  • Telephone operating and answering experience required
  • 1-2 years experience in a similar concierge/administrative assistant position desired

Job Duties

  • Greets, engages and assists residents, family members, guests, and visitors in a vibrant, courteous and professional manner
  • Answers internal and external telephone calls, pages and walkie talkie
  • Promotes programs, outings and events, encourages participation, and assists residents and/or guests with registration
  • Supports community sales efforts by engaging visitors and prospective residents, collecting information, and promoting senior living communities as a great place to live
  • Maintains building security, monitors security systems, including the emergency call system, and responds accordingly
  • Manages the operation and maintenance of all office equipment and communication devices (i.e. call transfers)
  • Manages mail and newspaper delivery
  • Assists Business Office Manager with ordering and maintaining adequate inventory of office and community supplies
  • Participates in and attends all required in-service training sessions
  • Maintains HIPAA standards and regards all medical or healthcare information pertaining to residents and employees as confidential
  • Other duties as assigned
