The Concierge Scheduler role at Waltonwood is pivotal as the first and last point of contact for residents, visitors, and staff. This position combines customer service excellence with essential administrative support, playing a crucial role in maintaining the safety, comfort, and efficiency of the community. As a Concierge Scheduler, you will be responsible for greeting guests warmly, managing telephone communications professionally, and applying safety and emergency procedures rigorously. You will organize concierge shift schedules, fill in for absences including overnight shifts, and interact meaningfully with residents daily to enhance their living experience.
Beyond these duties, the Concierge Scheduler supports the business office and other department heads by providing clerical assistance, maintaining an organized and neat front desk, and handling various tasks assigned by management. This position demands strong communication skills, a compassionate and empathetic attitude, and exceptional organizational abilities. Job Requirements
- High school diploma or GED preferred
- Minimum of 6 months of customer service and clerical experience preferred
- Proficiency with Microsoft Office and other computer applications
- Knowledge of multiple phone line operations and proper phone etiquette
- Must be willing to work a flexible schedule
- Strong communication and organization skills
- Ability to follow instructions and perform physical tasks such as lifting up to 20 pounds
Job Qualifications

Job Duties
- Greet residents, visitors, and staff in a welcoming, professional manner
- Answer internal/external telephone calls promptly and professionally
- Apply safety, security, and emergency procedures to ensure well-being
- Make the schedule for all concierge shifts
- Fill in for call offs on all shifts, including midnights
- Communicate positively with residents daily
- Update resident roster daily and handle resident charges
- Provide administrative and clerical support to Department Heads and management
- Keep front desk organized, neat, and clean
- Assist with other duties as assigned by Business Office Manager
