The Concierge Scheduler position at Waltonwood offers an exciting opportunity to be the welcoming face and administrative backbone of the community. As a Concierge Scheduler, you will be responsible for scheduling concierge shifts and providing the first and last impressions to residents, visitors, and staff members. This role involves delivering outstanding customer service and hospitality with each interaction, ensuring smooth communication by answering calls promptly, directing inquiries efficiently, and assisting with day-to-day questions or requests.

Additionally, Concierges contribute significantly to safety and security within the community by applying appropriate procedures and monitoring the entry and exit of individuals. The role also requires administrative support duties such as updating resident rosters, collecting charges, providing clerical assistance to department heads and management, and maintaining an organized and clean front desk area. The Concierge Scheduler position is integral to fostering a warm, welcoming, and efficient community environment, where building strong bonds with residents and promoting their comfort and well-being are key responsibilities.

This role requires someone personable, empathetic, and deeply committed to communication and customer focus. You will be a key player in ensuring the overall comfort, quality, and satisfaction within the community, helping to create a secure and friendly living space where residents feel truly at home. The position reports directly to the Business Office Manager and is a vital part of the Administrative team, which serves as the backbone of community operations.

Job Requirements

  • Proficiency with Microsoft Office and other computer applications
  • knowledge of multiple phone line operations and proper phone etiquette
  • minimum of 6 months of customer service and clerical experience preferred
  • willingness to work a flexible schedule
  • High School Diploma or GED preferred
  • strong communication and organization skills

Job Duties

  • Greet residents, visitors, and staff in a welcoming, professional manner
  • answer internal and external telephone calls promptly and professionally
  • properly understand and apply safety, security, and emergency procedures
  • make the schedule for all concierge shifts
  • fill in for call offs on all shifts, including midnights
  • become familiar with all residents of the community and communicate positively with them daily
  • update resident roster daily and collect daily resident charges
  • provide administrative and clerical support to Department Heads, Business Office Manager, and Executive Director
  • keep front desk organized, neat, and clean
  • assist with other duties as assigned by the Business Office Manager
