The Concierge role at Vocon is an integral position that embodies the firm's commitment to hospitality and professionalism. This full-time, non-exempt position is based in the Cleveland office and involves being the welcoming face and first point of contact for all visitors, clients, and candidates. As the Concierge, you will uphold Vocon's "White Glove Service" standard, ensuring that every guest's experience is positive and memorable. You will be responsible for managing the front desk, maintaining common and community areas, and providing seamless daily operational support in a fast-paced, creative office environment.

Working closely with the Office Manager, the Concierge will coordinate meetings, oversee office supplies and maintenance, and support critical business continuity projects. This role requires excellent interpersonal skills, high energy, and the ability to multitask effectively while maintaining a professional and friendly demeanor. The Concierge must be comfortable standing for long periods and adept at problem-solving to handle challenges that arise promptly. Job Requirements

  • High school diploma or GED required
  • Associate degree preferred
  • Previous front desk concierge customer service or hospitality experience preferred
  • Minimum of one year of related experience such as administrative concierge or customer service roles
  • Ability to work onsite Monday through Friday during core business hours 8:30 a.m. to 5:30 p.m.
  • Ability to be on feet for extended periods of time
  • Strong written and verbal communication skills
  • Ability to maintain confidentiality and professionalism
  • Ability to multitask in a fast-paced environment
  • Proficient with Microsoft Office Suite including Outlook Word and Excel

Job Qualifications

Job Duties

  • Receive and direct visitors and incoming calls to appropriate team members presenting a professional and welcoming first contact
  • Maintain the appearance of the lobby conference rooms and office common areas assuring they stay organized and client-ready at all times
  • Address office maintenance issues by escalating to appropriate point of contact
  • Schedule and help coordinate meetings within the office including reserving rooms arranging equipment needs and catering requests
  • Ensure proper coding of invoices for catering services or other goods for expense tracking purposes
  • Provide back-up support to the Office Services Team in general administrative duties such as running errands distributing and tracking packages preparing labels posting mail and arranging messenger services as needed
  • Monitor and order office supplies and other common use items for the office as needed
  • Oversee the maintenance of equipment including copiers phone systems and printers resolving minor equipment problems independently
  • Oversee the maintenance of off-site storage records providing guidance to the team on proper document retention policies and procedures
  • Maintain relationships with vendors who provide services and goods to the office
  • Assist in the completion of the office Business Continuity plan
  • Participate as needed in other special projects and general office duties as assigned
  • Responsible for understanding the business the departments within the business general client concepts and how the business works together to problem solve day-to-day requests and issues
