The Concierge position at John Knox Village is a critical role designed to act as the primary point of contact for residents, their families, guests, and staff. This role operates primarily within a general office environment and occasionally in assisted living community common spaces. The concierge is responsible for managing communications, providing administrative support, and ensuring smooth daily operations. Working every other weekend, with shifts on Saturdays from 8:30 am to 4:30 pm and Sundays from 9 am to 3:30 pm, this part-time role demands professionalism, organization, and a caring approach toward residents, especially considering the dynamic nature of caring for individuals with dementia.

As a concierge, you will be the welcoming face and voice of John Knox Village. Duties include receiving and directing incoming phone calls, welcoming visitors, managing sign-in logs for residents and guests to ensure a safe environment, facilitating maintenance work requests, assisting with medication drop-offs, and keeping reception areas organized. The role also involves maintaining records such as paycheck distribution rosters, check receipt logs, and resident databases to support operational efficiency. The concierge supports departmental managers by handling administrative tasks like typing memos, photocopying, and managing office supplies.

This position plays a vital role in resident relations by assisting new residents in transitioning into the community and integrating smoothly with available amenities. The concierge is expected to have a thorough understanding of the services offered by John Knox Village to guide residents appropriately. The position requires strong verbal and written communication skills and the ability to work with multiple healthcare professionals, maintaining confidentiality and professionalism at all times.

Job Requirements

  • Must pass Level 2 background screening through the Florida Clearinghouse
  • High School diploma or equivalent
  • Minimum 1 year experience working in assisted living community or similar environment
  • Ability to manage a diverse workload
  • Proficiency with multi-line phone system
  • Proficiency with MS Office Suite
  • Strong verbal and written communication skills
  • Obtain basic First Aid and CPR within 60 days from date of hire
  • Dementia Certification within 60 days from date of hire
  • Ability to frequently stand or walk for 0-3 hours at one time
  • Ability to occasionally sit for 0-2 hours at one time
  • Ability to frequently lift and/or carry 0-10 lbs up to 30 yards
  • Ability to occasionally lift and/or carry 15+ lbs up to 30 yards
  • May be required to support/assist a resident's full body weight

Job Duties

  • Receive all incoming calls in a professional, courteous, and timely manner
  • route calls to the proper individual or write a detailed message
  • Receive inquiries made by visitors, residents, associates, and route to the proper area of concern
  • Maintain the Resident Sign-In/Sign-Out Log and Visitor Sign-In/Sign-Out Log
  • Maintain the Paycheck Distribution Roster every pay-period and obtain each associate's or designee's signature
  • Receive maintenance work requests, write-up work order if necessary and transmit to maintenance department
  • Facilitate medication drop off and delivery to residents in a timely manner
  • Assist new residents with transitioning to life at the community and integration to amenities
