The role of CMMS Administrator and Maintenance Coordinator at Neogen's Lexington Operations is a critical position that underpins the reliability and efficiency of facility and operational maintenance activities. This full-time role focuses primarily on managing the Computerized Maintenance Management System (CMMS) to streamline maintenance workflows and ensure accurate tracking of work orders. The position also encompasses preventive maintenance program development, asset management, maintenance inventory control, and coordination of contractor and maintenance support efforts.

As the site CMMS owner and primary administrator, the incumbent will oversee the entire work order process—from receipt and prioritization to issuance, monitoring, and closure—ensuring each order includes comprehensive scope, materials, labor estimates, safety considerations, and completion documentation. A key part of this role involves maintaining detailed and accurate asset records, including equipment hierarchies, criticality ratings, manufacturer data, and spare parts inventories to enhance maintenance planning and asset reliability.

The successful candidate will develop, optimize, and maintain preventive maintenance procedures for facility systems such as HVAC, electrical, plumbing, and utilities, as well as operational and support equipment. They will schedule PM tasks in the CMMS to guarantee compliance and continuous asset reliability improvements, backed by data-driven recommendations.

Inventory management responsibilities extend to owning and managing the maintenance crib and spare parts storeroom, which includes organizing, stocking, cycle counting, and maintaining min/max stock levels. The CMMS Administrator will source, purchase, and receive all maintenance materials and tools, managing cost control and inventory optimization to minimize downtime risks. Coordination with vendors and suppliers to support timely material availability forms an essential part of this stewardship.

Supporting maintenance operations also involves coordinating outside contractors by managing work order issuance, ensuring clear scopes of work, material readiness, and scheduling maintenance activities to limit operational disruptions. The candidate may also support equipment installations, relocations, and facility modifications through meticulous CMMS planning and materials coordination. Operation of forklifts and material-handling equipment, following training, will be required for inventory management.

Safety and compliance are paramount in this role, with responsibilities including ensuring that all PM documentation and work orders meet regulatory and internal standards while promoting clean, organized, and safe work environments. Adherence to company policies, OSHA requirements, and local regulations is mandatory.

Effective collaboration and communication skills are vital to this position as the CMMS Administrator will work closely with Maintenance Technicians, Maintenance Managers, Engineering, Operations, and Supply Chain teams. They will communicate maintenance priorities, highlight material constraints, track recurring issues, and share opportunities for improvement. Acting as a pivotal bridge between field execution and planning teams ensures maintenance activities align seamlessly with operational goals.

Administrative duties include maintaining comprehensive and accurate records of work orders, preventive maintenance completions, asset histories, and inventory transactions in the CMMS. The role also entails generating reports on maintenance, inventory, and compliance, and tracking key performance indicators like PM compliance, backlog health, inventory turns, and asset reliability metrics.

  • Ability to lift up to 25 lbs regularly, 50 lbs frequently, and 100 lbs occasionally

Job Qualifications

Job Duties

  • Serve as the site CMMS owner and primary administrator for maintenance activities
  • Receive, review, prioritize, issue, and track corrective, preventive, and project-related work orders
  • Ensure work orders include clear scope, required materials, labor estimates, safety considerations, and completion documentation
  • Close work orders in CMMS with accurate labor, parts usage, downtime, and failure data to maintain reliable maintenance history
  • Monitor backlog, PM compliance, and work order metrics
  • provide reports and insights to Maintenance and Engineering leadership
  • Ensure CMMS workflows align with maintenance procedures, audits, and regulatory requirements
  • Maintain accurate and complete asset records for facility and assigned operational equipment including asset hierarchy, equipment criticality, manufacturer data, spare parts and BOMs
  • Develop, write, optimize, and maintain preventive maintenance procedures for building systems, facility infrastructure, and selected operational or support equipment
  • Schedule weekly, monthly, semiannual, and annual PMs in CMMS to ensure compliance and asset reliability
  • Review PM effectiveness and make data-driven recommendations for frequency or task improvements
  • Own and manage the maintenance crib and spare parts inventory including stocking, labeling, and organization
  • Conduct cycle counts and maintain inventory accuracy
  • Manage min/max and reorder point levels
  • Source, purchase, and receive maintenance materials, tools, and spare parts
  • Obtain quotations, place purchase orders, track deliveries, and coordinate with vendors and suppliers
  • Maintain cost control and inventory optimization while minimizing downtime risk
  • Issue parts to maintenance technicians and contractors ensuring accurate CMMS inventory transactions
