The role of Clinical Staffing Coordinator is essential within the Skilled Nursing department at Blue Skies of Texas. This position supports the Assistant Director of Nursing by managing and coordinating nursing staff schedules to ensure compliance with regulatory standards and meet the operational needs of the facility. Responsibilities include preparing and maintaining master staffing schedules, managing time-off requests, coordinating shift changes, and facilitating communication between staff and leadership. The coordinator acts as a primary contact for caregiving staff regarding scheduling conflicts and coverage, overseeing hiring processes, and ensuring alignment with census and acuity levels. This role also involves administrative tasks such as payroll verification, attendance tracking, and maintaining confidential resident information.
The Clinical Staffing Coordinator works within a collaborative environment that values adaptability and efficiency, particularly in balancing last-minute staffing requirements. It requires proficiency with scheduling software, Microsoft Excel, and effective communication skills. While the standard work hours are from 8:00 am to 5:00 pm Monday through Friday, the role may include additional hours during evenings, weekends, or holidays depending on operational needs. Employees are expected to maintain a professional appearance, wear nursing scrubs and proper protective equipment as necessary, and adhere strictly to safety and privacy protocols.

Job Requirements
- Licensed Vocational Nursing License in good standing
- Ability to work in a fast-paced team environment
- Excellent written and verbal communication skills
- Highly proficient with scheduling and other office technology
- Adaptability with last-minute changes
- Ability to utilize scheduling software, Excel, and email communications
- Working knowledge of skilled nursing regulations is a plus

Job Duties
- Manages all nursing department schedules and ensures master schedule is up to date
- Manages nursing staff time-off requests consistent with policies
- Serves as initial contact for caregivers to coordinate rescheduling shift vacancies
- Ensures adequate staffing levels and coordinates schedule changes as needed
- Resolves scheduling issues and requests leadership assistance when necessary
- Prepares and distributes draft schedule and final schedule by specified deadlines
- Reviews staff attendance sheets weekly with Assistant Director of Nursing
- Ensures PRN staff receive and submit schedules on time
- Discusses and resolves individual scheduling conflicts prior to final shift distribution
- Completes daily staffing sheets for upcoming month and compares to schedule for accuracy
- Coordinates with payroll to ensure accuracy of biweekly payroll and resolves timekeeping issues
- Evaluates payroll based journal for accuracy
- Serves as floor nurse to fill open staffing positions as needed
- Tracks agency staffing weekly and verifies billing prior to payment submission
- Reviews tardy and absence reports
- Handles all resident Protected Health Information confidentially
- Manages communication among assigned households
- Performs other duties as assigned by supervisor
