The role of Clinic Receptionist at AWA is a part-time position that plays a critical role in the smooth operation of the Pet Clinic. This position focuses on providing exceptional administrative support, ensuring efficient scheduling, handling communications, and delivering an outstanding customer experience to community members and pet owners. The Clinic Receptionist acts as the first point of contact for visitors, answering inquiries regarding medications, medical procedures, appointments, invoices, and payments. A key component of this job includes managing the clinic's reception desk activities, such as answering incoming calls, scheduling and confirming appointments, processing paperwork, and assisting with the flow of animals through clinic areas. The position also involves applying promotions and discounts, maintaining medical records, handling payments and balancing cash drawers, and overseeing the cleanliness and organization of the clinic's public areas. The receptionist supports the clinic team by relaying important follow-up care instructions and ensuring compliance with agency standard operating procedures for safety and care.

This role requires a strong commitment to animal welfare, including the acceptance and understanding of essential practices such as prepubescent sterilization, humane euthanasia, and post-surgery care. Job Requirements

  • Humane treatment of animals
  • acceptance and explanation of prepubescent sterilization, prerelease sterilization, and humane euthanasia
  • willingness to gain knowledge of normal and abnormal animal health and behavior pre- and post-surgery
  • knowledge of diseases and procedures related to spay and neuter and animal handling
  • familiarity with medical terminology and willingness to learn
  • knowledge of disinfecting, antisepsis, and asepsis procedures

Job Qualifications

  • High school graduate required
  • 1-3 years experience in high contact customer service position
  • working knowledge of computer systems and programs

Job Duties

  • Adheres to agency SOPs including safety and compliance
  • primary support for the clinic reception desk
  • answer incoming calls and check or return messages
  • schedule appointments
  • update cancellations and fill openings
  • confirm appointments the day before
  • greet and assist all visitors and volunteers
  • process paperwork as needed
  • assist with the flow of incoming animals and take animal weight
  • apply appropriate promotions and discounts to services
  • process reminder emails, calls, and postings
  • provide information on treatments, surgery, testing, and general animal care questions
  • relay follow-up care instructions from veterinarian or technician staff
  • stock, clean, and organize lobby and reception area
  • ensure deposits are applied to client accounts
  • process invoicing at appointment close
  • obtain and upload medical history to patient files
  • handle sale of clinic merchandise
  • process payments and balance drawer daily
  • oversee assigned maintenance and safety responsibilities
