Job Duties
- Assist with responding to incoming event inquiries and gathering initial event details
- support senior event specialists in communicating timelines, menu details, rental needs, and event updates
- help prepare proposals, menu drafts, and event documents with accuracy and attention to detail
- coordinate client tastings, site visits, and walk-throughs as needed
- assist in building event timelines, floorplans, and menu outlines
- prepare event materials including BEOs, rental lists, and event-day documents
- communicate event updates to culinary, operations, and staffing teams
- track changes, notes, and client requests in internal systems to ensure accuracy
- support event inventory prep, rental pulls, and event pack-outs as assigned
- assist with on-site execution at events, ensuring smooth flow, timeline adherence, and elevated guest service
- help problem-solve day-of challenges with a calm, solutions-focused mindset
- communicate key details to the lead producer and operations team
- maintain organized files, event notes, billing details, and client communication logs
- support the team with follow-up messages, after-event documentation, and client satisfaction checks
