Reporting directly to the CEO/Owner or Senior Event Producer, this entry-level client-facing position supports the sales and events team by managing various responsibilities from the initial inquiry stage through event execution. The compensation for this role ranges from $50,000 to $60,000 annually, with additional benefits and opportunities for growth within the company.

As an Event Coordinator, you will play a crucial role in ensuring the smooth planning and execution of events, assisting with inquiries, client communications, and on-site coordination. The position requires an enthusiastic and highly organized individual with 1-2 years of relevant hospitality or catering experience, a passion for outstanding guest service, and a strong desire to learn and contribute to a fast-paced, high-performing team environment. Your responsibilities will include helping prepare proposals, coordinating tastings and site visits, supporting event timeline creation, and ensuring accurate communication across culinary, operations, and staffing departments.

Job Duties

  • Assist with responding to incoming event inquiries and gathering initial event details
  • support senior event specialists in communicating timelines, menu details, rental needs, and event updates
  • help prepare proposals, menu drafts, and event documents with accuracy and attention to detail
  • coordinate client tastings, site visits, and walk-throughs as needed
  • assist in building event timelines, floorplans, and menu outlines
  • prepare event materials including BEOs, rental lists, and event-day documents
  • communicate event updates to culinary, operations, and staffing teams
  • track changes, notes, and client requests in internal systems to ensure accuracy
  • support event inventory prep, rental pulls, and event pack-outs as assigned
  • assist with on-site execution at events, ensuring smooth flow, timeline adherence, and elevated guest service
  • help problem-solve day-of challenges with a calm, solutions-focused mindset
  • communicate key details to the lead producer and operations team
  • maintain organized files, event notes, billing details, and client communication logs
  • support the team with follow-up messages, after-event documentation, and client satisfaction checks
