The Catering Coordinator position available in Portland, Maine, is a full-time, onsite role within the Dining & Events segment under the Corporate Chefs brand. This position is centered on managing and coordinating all aspects of catering events from initial planning and client consultations to execution and post-event wrap-up. The successful candidate will act as the primary liaison between clients, culinary teams, operations staff, and vendors, ensuring every event is flawlessly executed and meets the high-quality standards the company is known for.
Responsibilities include assisting with event logistics such as setup, teardown, and overseeing delivery schedules to guarantee timely and accurate service. The Catering Coordinator plays a crucial role in customizing client orders, responding to inquiries, managing inventory for catering supplies and equipment, and collaborating with external vendors to provide necessary services for each event. Attention to detail, strong multitasking abilities, and excellent organizational skills are essential to success in this role. Furthermore, the ability to provide on-site support during events, swiftly resolve any last-minute challenges, and maintain excellent communication across all involved parties ensures that client satisfaction remains high.

Job Duties
- assist in the planning and coordination of catering events from start to finish including logistics setup and teardown
- serve as the primary point of contact for clients addressing inquiries customizing orders and ensuring that all event details align with client expectations
- coordinate delivery and pickup schedules for catering orders event rentals and any additional materials required
- work with the culinary and operations teams to ensure all orders are prepared accurately and delivered on time
- maintain a master calendar of events and deadlines attending pre-event meetings and communicating event details to all relevant parties
- liaise with external vendors to arrange equipment rentals and other necessary services to support successful event execution
- provide on-site assistance during events ensuring seamless execution and promptly addressing any last-minute issues
- manage catering supplies equipment and materials to ensure sufficient inventory levels for upcoming events
- ensure all food and services meet company standards for quality presentation and customer satisfaction
