The Catering Coordinator role at Corporate Chefs, based in Portland, Maine, is a full-time, onsite position within the Dining & Events segment under the Corporate-Chefs brand. The position is designed for a proactive individual who excels in event planning, coordination, and execution of catering services. The Catering Coordinator acts as a central figure connecting clients, culinary teams, vendors, and operations, ensuring that events are flawlessly organized and executed to meet client satisfaction and company standards. In this role, the Catering Coordinator will be heavily involved in overseeing every aspect of catering events—from initial planning through logistics including setup and teardown—ensuring each event detail aligns perfectly with client expectations. This includes managing delivery and pickup schedules for catering orders and event rentals, coordinating with culinary and operations teams to ensure food preparation and delivery accuracy and timeliness, maintaining a comprehensive calendar of events and deadlines, and liaising with vendors for equipment rentals and services to support event success. A significant part of the role is providing onsite support during events to resolve any last-minute issues and ensure smooth execution. The coordinator also manages catering supplies inventory, ensuring adequate stock for upcoming events, and maintains high standards for food quality, presentation, and overall customer satisfaction.

- Basic proficiency with Microsoft Office Word and Excel
- Safe Food Handler’s Certification is preferred

Job Duties
- Assist in the planning and coordination of catering events from start to finish including logistics setup and teardown
- Serve as the primary point of contact for clients addressing inquiries customizing orders and ensuring all event details align with client expectations
- Coordinate delivery and pickup schedules for catering orders event rentals and any additional materials required
- Work with culinary and operations teams to ensure all orders are prepared accurately and delivered on time
- Maintain a master calendar of events and deadlines attending pre-event meetings and communicating event details to all relevant parties
- Liaise with external vendors to arrange equipment rentals and other necessary services to support successful event execution
- Provide on-site assistance during events ensuring seamless execution and promptly addressing any last-minute issues
- Manage catering supplies equipment and materials to ensure sufficient inventory levels for upcoming events
- Ensure all food and services meet company standards for quality presentation and customer satisfaction
