The current opening is for a Catering Sales Administrative Support role that plays a critical function in maintaining effective communication channels and administrative procedures within the catering sales department. This administrative position involves performing a variety of tasks to support the sales team, ensuring that all necessary information related to catering events is accurately processed and promptly disseminated. The ideal candidate will be responsible for acts such as answering telephone calls promptly, typing and processing banquet event orders, contracts, correspondence, and distributing important memorandums and documents to relevant departments. In addition to clerical duties, the role requires professional and polite communication with clients, addressing inquiries, and coordinating smoothly with other hotel departments to guarantee guest satisfaction.

This role serves as a liaison between sales managers and other teams to facilitate clear and efficient communication of event details, including changes to banquet event orders. Job Requirements

  • High school diploma or equivalent preferred
  • Previous hotel or catering experience preferred
  • Ability to work varied schedules including holidays and weekends
  • Capability to stand for extended periods and perform physical tasks such as lifting up to 25 pounds, bending, stooping, kneeling, and crouching

Job Qualifications

  • High school diploma or equivalent preferred
  • Previous hotel or catering experience preferred but not required
  • Strong communication and interpersonal skills
  • Proficiency in office software and typing
  • Ability to multitask and manage time effectively
  • Basic understanding of hotel or event operations
  • Professional phone etiquette

Job Duties

  • Promptly answer telephone calls and communicate relevant account information accurately to managers and departments
  • Type and process correspondence, proposals, banquet event orders and contracts as directed by management
  • Distribute memos, contracts, resumes, room requests and amenities to relevant departments
  • Politely and professionally converse with clients and respond to all inquiries
  • Coordinate as appropriate with other departments to ensure seamless delivery of service and guest satisfaction
  • Maintain filing retaining necessary copies of contracts and correspondence in accordance with established standards
  • Follow sustainability guidelines and practices related to the EarthView program
  • Act as a liaison between sales managers and other departments to properly communicate information needed for upcoming events including distribution of banquet event orders and changes
  • Perform other duties as requested by management
