Job Description

The role available is for a Catering Coordinator within the hospital’s food and nutrition services division. This is an on-site position based in Dallas, requiring regular attendance from Monday to Friday with hours from 7:00 am to 5:00 pm, along with occasional evenings and weekends as needed. The Catering Coordinator will be responsible for managing food, drink, and snack services for meetings, conferences, and other events across multiple hospital locations. This position is vital to ensuring that catering services meet hospital standards for quality, safety, and compliance. The successful candidate will supervise external catering vendors, manage event schedules, and coordinate logistics to support the hospital’s diverse event needs.

In this role, the Catering Coordinator will utilize various event management systems such as Resource Scheduler, Event Master, and the Microsoft Office Suite to plan, track, and report catering activities efficiently. They will work closely with internal teams including meeting organizers, administrative staff, and multiple hospital departments, as well as external vendors, to ensure seamless event catering services. The position requires maintaining strict adherence to Texas food safety regulations and hospital policies for sanitation to safeguard patient health and uphold the hospital’s reputation for excellence.

The Catering Coordinator is tasked with overseeing the receipt and inspection of food and beverage deliveries, ensuring proper storage and inventory rotation using FIFO methods to maintain food freshness and safety. They will also ensure that kitchen areas, equipment, coffee urns, and service stations remain clean, sanitized, and organized at all times. Part of the role involves tracking attendance counts for events, managing expenses, handling invoices, and preparing monthly reports for the Director of Food and Nutrition Services to support the department’s operational and budgeting needs.

Additionally, this position requires coordinating with Environmental Services for linen and table setups, scheduling rental equipment and supplies, and assisting in the development and standardization of banquet recipes in collaboration with a registered dietitian. The Catering Coordinator will play a critical role in supporting the success of hospital meetings, conferences, and special events, thereby contributing to the overall patient and staff experience at the hospital.

This position demands excellent organizational, multitasking, and interpersonal skills as well as flexibility to adapt to variable work hours and event demands. A high school diploma is required, with an associate degree preferred; relevant experience in hotel or hospital catering is essential. Certification as a Food Service Handler with the State of Texas is also necessary. The successful candidate will demonstrate self-direction and require little supervision, all while maintaining professional communication, customer service standards, and appearance in all activities.

Job Duties

  • Prepare and deliver food, drink, and snack ordering services for meetings, conferences and events across hospital locations
  • supervise all outside catering vendors ensure compliance with hospital policies, sanitation procedures and food safety standards, including proper dish machine usage
  • utilize scheduling and event management systems, including Resource Scheduler, Event Master, and Microsoft Office Suite for event coordination, tracking and reporting
  • communicate and collaborate effectively with meeting organizers, administrative assistants, hospital departments, and external vendors to meet event service needs
  • receive, inspect, sort, and organize incoming food and beverage deliveries while ensuring proper handling, storage, and inventory rotation using FIFO methods
  • maintain compliance with Texas food safety regulations and organizational health standards
  • ensure catering kitchen areas, equipment, coffee urns, and service areas remain clean, sanitized, and organized
