The Catering Administrative Assistant role at Haute Chefs LA is crucial to the company’s daily operations. Reporting to both the Business Owner and the Operations Manager, the Assistant serves as one of the first points of contact for potential event clients and one of the final touchpoints for kitchen menus before events. This position is essential for managing the administrative needs of a fast-paced and creative office environment. The role demands someone who is highly organized, detail-oriented, and capable of multitasking efficiently amidst changing priorities. The assistant will interact with clients, kitchen staff, and external agencies to ensure seamless event coordination and flawless communication.

This is an onsite role based at the North Hollywood office, requiring availability Monday through Friday from 9 AM to 5 PM, with occasional work on select holidays. Responsibilities include monitoring and responding to new client inquiries, coordinating event staffing, managing calendars and appointments, and maintaining clear communication across all departments. The Assistant is also responsible for inputting drop-off orders into the company’s ecommerce system and creating menus that are accurate and timely for both clients and kitchen staff. Handling confidential information with discretion and maintaining a professional, warm tone in all client communications is key to success in this position.

Ideal candidates will bring at least two years of relevant professional office experience, proficiency in Mac OS, Microsoft Office, and G Suite for Business, and the ability to thrive in a busy work environment filled with frequent interruptions and urgent demands. Strong written and verbal communication skills, attention to detail, and a commitment to follow-through with clients and colleagues are fundamental requirements. Candidates should also be capable of managing multiple projects simultaneously, adhering to deadlines, and operating independently with minimal supervision. Experience with ecommerce platforms like Shopify and advanced Microsoft Excel skills are preferred. An appreciation for culinary environments, music, and a friendly office culture involving dogs is considered a plus.

Job Duties

  • Monitor marketing inbox and disseminate new client inquiries
  • respond to all inquiries within 12-18 hours
  • schedule and staff events with in-house staff and third-party agencies
  • email and communicate professionally on behalf of the company
