The Business Operations Coordinator role is a full-time position based at the company's New York location. This position plays a crucial role within the operations department, responsible for managing a wide variety of duties including tour reception, gifting, and contracts processing in line with Travel + Leisure Co.'s Standard Operating Procedures. The ideal candidate will foster a professional and welcoming atmosphere for guests, Sales, and Marketing teams while ensuring administrative operations run smoothly. This role requires someone detail-oriented and customer service-focused who can handle multiple responsibilities that impact daily business metrics such as site revenue recognition, cost per tour, and marketing payroll accuracies.
Essential functions include greeting and qualifying touring guests, managing guest information, assigning tours to Sales Agents, and supporting internal departments including Sales, Marketing, HR, and Resort teams. The position demands frequent interaction with guests to provide exceptional service, contract preparation and maintenance, as well as precise data entry into centralized reservation systems and Epiphany software. The Business Operations Coordinator also reconciles gifts, tours, and contracts daily and maintains compliance with data security standards like PII and PCI.

Job Requirements
- High School diploma
- proficient computer skills
- experience with CRS or Epiphany systems
- proficiency in Microsoft Word, Outlook, and Excel
- one year of general office experience
- one year of customer service experience
- ability to make limited operational decisions
- strong attention to detail
- ability to maintain data security standards
Job Qualifications

Job Duties
- Greet and qualify touring guests
- collect and validate guest information
- assign tours to Sales Agents and provide information to Sales and Marketing
- provide exceptional customer service to guests
- answer phones and assist with contract questions
- distribute premiums upon presentation closure
- complete gift, tour, and contract reconciliation
- enter all tour and gifting information into reservation systems
- prepare and balance cash and site statistics
- file and secure all documents according to procedures
- maintain property owner information security
- prepare timeshare sales contracts
- assist Administrative Supervisor with Sales support
- provide administrative assistance to Sales, Marketing, HR, and Resort teams
- perform other duties as needed
