The role of Booking Coordinator - Private Event is critical in maintaining the high standards of Crypto.com Arena’s private event venues across the L.A. LIVE campus. This full-time position focuses on streamlining bookings for one-off and corporate events, ensuring efficient operations and exceptional client service. Reporting to the Senior Manager of Booking - Private Events, the coordinator plays a vital role in coordinating site visits, managing holds, building competitive offers, and overseeing contract execution.
The coordinator actively assists in prospecting new business opportunities by researching potential events, reaching out to prospective clients, and nurturing relationships with event planners and corporate clients. Key responsibilities include drafting contracts according to company templates, collaborating with legal, finance, and risk management teams, and securing payments to finalize bookings. The role also requires conducting detailed site tours, answering venue-related inquiries, and coordinating logistics, including working with non-AEG venues.
Successful candidates will bring strong interpersonal and communication skills, the ability to multi-task and manage priorities effectively, and proficiency in Microsoft Office and other business systems. The company values attention to detail, a proactive approach to follow-up, and the capability to work independently as well as part of a collaborative team. Experience in venue operations, catering, or the special events industry is a plus and contributes to success in this role.

Job Requirements

- 2-4 years of related work experience

Job Duties
- Assist Sr. Manager, Booking - Private Events with prospecting new business for L.A. LIVE Campus private event venues
- Create and respond to proposals for inbound potential events and clients
- Research new event business coming to Los Angeles, conduct outbound phone calls and emails to previous clients and new prospect leads to build new relationships
- Draft contracts (based on templates), review Certificates of Insurance, and collect payments while working with AEG Legal Team, Finance, and Risk Management teams and clients to get contracts to execution
- Conduct site visits and tours of L.A. LIVE campus by answering questions regarding venue details and event operations
- Coordinate logistics with restaurants and venues that are not under AEG control
- Identify the top DMC, event planners, and other top corporate prospects and execute plans to establish relationships with these key targets
- Identify opportunities for convincing existing events to move to L.A. Live for future years
- Maintain customer and event information in the CRM system and Booking Calendar
- Assist with other special projects/duties on a case-by-case basis and as assigned by manager
