As a Bilingual Receptionist (Spanish/English) at Speaks Law Firm, you will be the crucial first point of contact for clients entering the office. This full-time role, scheduled Monday through Friday from 8:30 AM to 5:30 PM, involves creating a welcoming and professional atmosphere. Your responsibilities will include greeting clients with warmth and professionalism, managing a multi-line phone system, scheduling and confirming appointments, and handling mail, faxes, and deliveries efficiently. Maintaining a neat and inviting lobby and meeting spaces will also be part of your duties to ensure a positive client experience.
Beyond front desk operations, you will support administrative tasks such as copying, scanning, faxing, emailing, and note-taking. Your bilingual skills will be essential for assisting clients comfortably in both Spanish and English, facilitating clear communication between clients, attorneys, and legal staff. Your role also involves client coordination, including notary services and assistance with client check execution and releases, underscoring the vital support you provide in legal processes.

Job Requirements
- High school diploma or GED
- Fluent in Spanish and English
- At least 2 years of customer service or front desk experience
- Excellent interpersonal and communication skills
- Intermediate computer skills including Microsoft Office Suite
- Strong organizational skills and attention to detail
- Professional demeanor and appearance
- Willingness to obtain NC Notary Public certification within six months if not already certified

- NC Notary Public certification or willingness to obtain within six months preferred

Job Duties
- Greet clients and visitors with professionalism and compassion
- Operate a multi-line phone system messages
- Assist with scheduling and confirming appointments
- Promptly direct outgoing/incoming mail, faxes, and deliveries to intended recipients
- Maintain tidy and welcoming public spaces (lobby, meeting rooms, bathrooms, break areas)
- Prepare meeting rooms, documents, and arrange refreshments as needed
- Support administrative needs: copying, scanning, faxing, emailing, and note taking
- Meet with clients for notary services
- Coordinate with staff as needed for client check execution and releases
- Maintain effective communication with clients, attorneys, and legal staff
- Provide assistance and guidance in both Spanish and English, ensuring clarity and comfort for all visitors
- Support the execution of all daily operations with urgency and attention to detail
