Reporting directly to the administrator, the Administrative Assistant I serves as the primary receptionist and customer service liaison for staff, students, parents, and community members. This bilingual role requires fluency in both English and Spanish to effectively communicate and assist a diverse school population.

Responsibilities include managing office records, organizing appointment schedules, processing documentation, and maintaining inventory and office supplies. The position also supports student enrollment processes, processes payments and fees, coordinates substitute coverage, and assists with various clerical tasks and special projects that contribute to the overall efficiency of school operations. Job Duties

  • Greet staff, students, and the public visiting the office or department
  • answer and direct phone calls, taking messages and providing information as needed
  • serve as the first point of contact for visitors, offering assistance or directing them to the appropriate staff member
  • prepare and distribute correspondence, notices, bulletins, and other written communications
  • maintain and organize department calendars, appointment schedules, and mailing lists
  • assist with copying, laminating, binding, and preparing materials for staff
  • manage incoming and outgoing mail, ensuring proper distribution
  • maintain inventory and reorder office supplies as necessary
  • assist with student enrollment processes and updated records
  • help coordinate substitute coverage for staff as needed
  • collect and process fees, fines, or tuition payments, and manage checkbook(s)
  • support the entry of new student data and assist with processing student records
  • enter and maintain student attendance, field trips, testing data, etc.
  • provide clerical assistance to other school staff and departments as necessary
  • perform other duties as assigned by the principal to support the efficient operation of the office
